Details
Our TRiO programs are looking for people interested in working as a program aide. TRiO works with high school students (ages 14-18) and middle school students (ages 12-14) primarily in the areas of math, lab sciences, literature/composition and foreign languages. We are seeking reliable individuals who must possess good interpersonal communication skills, the ability to work with others, the desire to engage youth, strong organizational skills, and demonstrate sensitivity to the needs of disadvantaged students. Students served in this program are either low income, first generation college students, or show a need for academic support. This is a part-time (up to 28 hrs/wk), temporary position hired on a short-term, temporary contract.
Description
- Perform a variety of clerical and secretarial duties; assist in assuring smooth and efficient office operations; coordinate flow of communication and information, review, revise, verify and proofread a variety of documents.
- Compile information and prepare and maintain a variety of confidential records, logs and reports related to program, students, attendance, and assigned duties;
- Establish and maintain filing systems, databases, archives and student files for department.
- Input a variety of data into an assigned computer system; initiate queries and generate various computerized lists and reports as requested; assure accuracy of input and output data.
- Process a variety of forms and applications related to program; duplicate and distribute materials as needed.
- Receive visitors, including administrators, staff, parents and the public and provide information or direct to appropriate personnel; respond to inquiries and provide information and assistance related to office or program operations, activities, policies and procedures.
- Compose, independently or from oral instructions, note or rough draft, a variety of materials such as , forms, letters, labels, fliers, invitations, ads, posters, newsletters, brochures, certificates and other materials.
- Coordinate, schedule and attend a variety of meetings and events; prepare and send out notices of meetings; compile and prepare agenda items and other required information for meetings, summer programs, workshops and other events; set up supplies for meetings; take, transcribe and distribute minutes as directed.
- Monitor students in the program.
- Maintain appointment and activity schedules and calendars; coordinate travel arrangements and hotel reservations as necessary; reserve facilities and equipment for meetings and other events as needed.
- Monitor inventory levels of office and designated supplies; receive and maintain appropriate levels of inventory as required; process purchase requisitions and invoices as assigned.
Education and Experience
High school diploma and two years of clerical or secretarial experience involving frequent public contact.
