Program and Internship Coordinator
Position Purpose
To provide programmatic and operational support for the office, with a primary focus on event logistics and execution, financial and procurement operations, support for internship funding efforts and serving as a central point of contact for students and visitors.

Bachelors plus 1-2 year(s) of experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities
- Bachelor's degree plus 1-3 years' experience or equivalent combination of education and experience
- Minimum of 1-3 years of experience in event coordination, program administration, or operations support.
- Strong organizational skills with demonstrated ability to manage multiple concurrent projects and deadlines.
- Proficiency in Microsoft Office Suite, particularly Excel, and experience maintaining data tracking systems and records; Experience with Airtable preferred.
- Knowledge of financial and procurement processes, including purchasing, reimbursements, invoicing, and budget tracking.
- Exceptional written and verbal communication skills, including experience corresponding with diverse stakeholders.
- Proven ability to work independently, take initiative, and identify opportunities for process improvement.
- Demonstrated ability to deliver a welcoming, responsive experience in a student- or customer-facing environment.
Preferred Qualifications
- Experience working in a higher education, nonprofit, or mission-driven organizational environment.
- Experience supporting internship, career development, or experiential learning programs.
- Comfort with event technology tools, including AV setup, virtual meeting platforms, and event registration systems.
Program & Event Operations (35%)
- Coordinates and supports a portfolio of recurring and one-off programs, with a primary focus on event logistics and execution.
- Manages end-to-end event operations (space reservations, vendors/venues as needed, materials, technology/AV, staffing, day-of run-of-show).
- Ensures a high-quality participant experience through proactive planning, clear communication, and strong attention to detail.
- Maintains event supply readiness (materials, signage, swag), including inventory tracking and replenishment recommendations.
- Identifies opportunities to streamline event workflows and improve templates/checklists
Financial & Procurement Operations (20%)
- Processes day-to-day financial transactions for the team (purchases, reimbursements, invoices, and contract-related payments as applicable).
- Maintains internal budget tracking tools/spreadsheets to support forecasting, reconciliation, and clear visibility into program spend.
- Applies current Dartmouth finance/procurement policies; coordinates with central finance and procurement partners to ensure compliance and timely processing.
General Operations (15%)
- Manages the office's central email inbox, triaging inquiries and routing them appropriately.
- Staffs the front desk, providing a welcoming and responsive first point of contact for students and visitors.
Internship Funding Program Support (30%)
- Assists in the administration of internship funding applications, ensuring materials are accurate, organized, and accessible to students.
- Supports the funding allocation process by tracking applications, submitting payment requests, and maintaining records.
- Coordinates timely communications with applicants and internship hosts
- Supports continuous improvement efforts in data collection, tracking program outcomes, and identifying opportunities to enhance the student experience.
