Characteristic Responsibilities:
- Serve as a welcoming resource for the department, greeting and offering support to current and prospective students, members of the campus community.
- Support the confidential Postbac Program admissions and enrollment processes.
- Work closely with fellow Program Assistant in organizing interviews and other requirements.
- Assist Director with selection of student volunteers to serve as Admissions Assistants (AAs) on interview days; provide information essential to selection process, respond to inquiries, and follow up with AAs and newly admitted postbacs to arrange on-campus visits.
- Prepare reports for Postbac Admissions Committee.
- Serve as primary liaison with Registrar, Student Accounts, Financial Aid, and other campus colleagues to ensure accurate and timely flow of postbac student enrollment.
- Track and manage correspondence with incoming postbac class regarding application, enrollment, and matriculation.
- Organize information for distribution to postbacs at Orientation; welcome newly arrived postbacs to Bryn Mawr and serve as a helpful resource to postbac students.
- Provide reports on various topics; access data to address requests from Associate Dean/Director for information on admissions process, enrollment and retention, course schedules, and more.
- Assist fellow Program Assistant with management of confidential student files.
- Create, organize, and maintain documents needed for Bryn Mawr’s Premed Committee, supporting undergraduates and alumnae applying to medical and dental school.
- Upload committee letters in support of undergraduates and alumnae to the Association of American Medical Colleges and other centralized application services.
- Coordinate and support the in-house MCAT Prep course and serve as liaison to the MCAT Prep Fellow hired annually.
- Manage information about Postbac Program peer tutors.
- Provide administrative support to the department, responding to in-person, telephone, and email correspondence, coordinate workflow and orders supplies, maintain schedules and calendars for HPAO staff.
- Reserve meetings and event space and coordinate associated logistics (e.g. materials, catering, media, etc.).
- Coordinate workload and collaborate closely with part-time program assistant on departmental responsibilities, and other offices on campus, including Conferences & Events, LITS, Registrar, Student Accounts, Financial Aid, Facilities, Dining Services, Communications, and other offices on campus.
- Hire and supervise student office assistants and tutors.
- Assist Director with supervising student Welcome Coordinators, MCAT Fellow, and Review & Reinforcement Fellows, including hiring and time sheets.
- Maintain paper and electronic records and budget information, including regular expenditures of Postbac Program and undergraduate pre-health advising.
- Organize course registration for Postbac Program, working closely with the Office of the Registrar and Student Accounts.
- Regularly use technology, including internal and external computer platforms.
- Provide Workday support for matters related to student employment, purchasing, expense reports, credit card reconciliations, etc.
- Co-Manage listservs for undergraduate and postbac student populations.
- Work regularly with restricted and highly sensitive information; ensuring confidentiality.
- May perform other duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Minimum three years related professional experience, preferably in an academic environment.
- Demonstrated ability to represent the department in a positive manner and effectively collaborate with students, faculty, alumnae, staff and other campus community members.
- Strong attention to detail and organizational management.
- Excellent oral, written, and interpersonal skills.
- Strong computer proficiency, including but not limited to Word, Excel, Adobe, PowerPoint, and Email. Workday & Slate experience preferred but not required.
- Successful completion of satisfactory background checks.
