About the Role 

We have an exciting opportunity for an experienced Program Coordinator to join Swinburne’s Delivery Management Office (DMO). Working closely with the Ad Astra Program Manager, this role supports the delivery of initiatives across the Ad Astra 2030 portfolio by providing strong coordination, reporting and governance.

You will be responsible for coordinating integrated program schedules, milestones, dependencies and delivery plans to support effective program execution. The position acts as a central coordination point across program, project and business stakeholders, ensuring alignment, timely decision making and clear visibility of progress across the portfolio.

Deliver high quality program and portfolio reporting and dashboards, support governance through effective meeting materials and action tracking, and maintain program level risk, issue and dependency registers. The role also supports financial and resource coordination, ensures accurate data in enterprise PPM systems, and drives continuous improvement in reporting, governance and delivery practices.

About You 

You are an experienced program or PMO professional who thrives in complex environments and brings strong organisational, stakeholder and analytical skills. To be successful, you will have:

  • Experience in a PMO, program coordination or project support role 
  • Demonstrated capability in developing schedules, producing program-level reporting and managing risks and issues 
  • Strong understanding of program delivery, governance and reporting frameworks 
  • High proficiency in Microsoft Office (Excel, PowerPoint, Project); experience with PPM tools is desirable 
  • Excellent attention to detail, communication and stakeholder engagement skills 
  • A proactive, collaborative and solutions-focused approach 

Qualifications 

  • An equivalent combination of relevant experience and/or education and training 
  • A valid Working with Children Check (or the ability to obtain one prior to commencement)
