Program Coordinator II, Allied Health
Job Description

This position coordinates academic program functions across all Allied Health programs, with a primary focus on the Health Sciences/Medical Assisting/Phlebotomy department. These coordination functions include working with faculty, chairs, program directors, administrative staff, and the Dean to align human resources, equipment, materials, and procedures so that faculty and students have an optimal teaching and learning experience. Serves as a liaison between various Allied Health programs and a multitude of external partners. Ensure that the college's services are learner-centered. Assuming lead guidance and identifying strategic initiatives that can be implemented for the good of the division as a whole.
Allied Health Division Support:
- Assist in the development of reports required by the Career and Technical Education (CTE) office.
- Maintain required healthcare documents for full-time and part-time faculty.
- Represent Allied Health (AH) programs at Capital and Perkins Budget meetings.
- Represent AH programs in departmental meetings related to compliance, background checks, drug screenings, and essential skills.
- Answer all questions regarding background checks/drug screens. Refer students to HireRight when necessary.
- Complete requisitions, with supporting documentation, of all approved capital, special projects, and Perkins purchases.
- Participate in chair training and assessment meetings and communicate updates with AH program chairs.
- Attend, coordinate, and take minutes for Advisory Committee meetings for AH programs.
- Conduct tours of the Allied Health labs for prospective students and field questions that arise during the tours.
- Solicit nominations for the annual Distinguished Scholar award.
- Write grant applications, including Hansen Grants to the Aims Foundation.
- Assist with yearly career fair planning, representing all Allied Health programs.
- Represent AH programs at community career fairs.
- Update the promotional fliers and websites for AH programs.
Medical Assisting/Phlebotomy:
- Conduct health requirement verification sessions.
- Assist with the development of all reports required by accrediting bodies.
- Make instructor copies of new textbooks available for faculty review.
- Assist with departmental ordering.
- Complete Bookstore Adoption forms by established due dates.
- Meet regularly with the program chair to discuss and implement any changes in the program.
- Organize and lead information and orientation sessions.
Health Sciences:
- Confirm that potential and current part-time faculty possess or qualify for a CTE teaching certificate.
- Maintain student files and records, including all student health records and required immunizations.
- Prepare required student health records for distribution to clinical sites.
- Coordinate partnerships with outside clinical agencies.
- Collaborate with the Registration Department to approve student registrations.
