PROGRAM COORDINATOR II

The Program Coordinator II is responsible for managing all aspects of the Heersink School of Medicine's Clinical and Research Undergraduate Summer Programs (CRUSP), from initial planning to the implementation of mandatory HSOM policies. This includes tasks ranging from application processing and dissemination to onboarding students and coordinating program-specific timetables. Additionally, this role includes oversight of HSOM Medical Student Travel Awards. This includes tasks ranging from application and award processing. The position will also assist with the operations of the Poster Printing Service Center, ensuring efficient and reliable services for faculty, staff, students, and external stakeholders.

Key Duties Responsibilities

  • Planning and execution of Heersink SOM's Clinical and Research Undergraduate Summer Programs, including application collection, dissemination, onboarding, and scheduling
  • Managing Medical Student Travel Awards, including application collection, dissemination, and award processing
  • Assist with data collection, analysis, and preparation for internal and external reports related to HSOM CRUSP
  • Assist with the operations of the Poster Printing Service Center, including processing requests, quality control, and dissemination of goods
  • Assist with other administrative activities within the Physician Scientist Development Office as needed

Under minimal supervision, coordinates administrative, personnel and logistical support for a defined department program (s), often of a large and/or complex nature. Carries out established program objectives and directives. Follows established guidelines or protocols. Determines the best approach to accomplish assignments. May participate in program planning and in setting program objectives. May supervise support staff. May act as a communication liaison and special events planner. Interfaces with outside resources such as volunteers, alumni, patients, other professionals in a defined field or with continuing education students. May be responsible for adherence to program budget and/or other fiscal duties. May assist with grant and contract preparation and submission. May handle data management. Perform other duties as assigned.

Salary Range: $18.35 - $29.80

Qualifications

Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

Preferred Skills & Knowledge:

  • Oracle HR and Finance experience
  • Exceptional computer (Microsoft Office), written, and communication skills
  • Able to interact with a variety of UAB staff, faculty, senior-level administrators
  • Able to multi-task to meet requirements of a fast-paced and changing work environment
  • Excellent problem solving, conflict resolution, and customer service skills
  • Can work autonomously as needed, or as part of team
