Program Manager, Donor Engagement
The Donor Engagement Program Manager is part of a team responsible for advancing the ASU Foundation's relationships with benefactors to provide positive experiences, enhance donor retention, and facilitate future giving. In partnership with the director and internal stakeholders, this role supports the implementation and coordination of donor engagement programs, ASU President's Club and ASU Women and Philanthropy. The role maintains key operational functions, including data management, tracking activity, and facilitating proper program documentation to ensure accurate reporting and effective project delivery. This position also collaborates closely with engagement and outreach teams, unit development leads and partners across ASU Enterprise Partners to implement communication and engagement initiatives. This individual applies critical thinking to identify opportunities to streamline processes and improve the coordination of engagement efforts. This position reports to the Director of Donor Engagement and may include supervisory responsibilities.
What you'll do
- Manages and maintains President's Club and Women and Philanthropy supporter records to accurately track giving history, membership period, leadership giving status, etc.
- Manages and leads the monthly engagement program's membership processes, including acknowledgments, renewal reminders, past-due outreach, and reporting related to donor participation and revenue projections
- Manages operational aspects of the annual Women and Philanthropy grant funding process, including application coordination, review processes, presentation logistics, and engagement with the Women and Philanthropy Grant Review Committee (e.g., timeline management, scheduling, and preparation of meeting materials).
- Supports the planning and execution of signature engagement program events, including materials preparation and day-of coordination
- Assists in processing the engagement program's philanthropic gifts and commitments, including creating or updating opportunities, linking gifts, preparing deposit documentation, gift receipts, reconciliation, and coordinating with ASUEP Finance to ensure accurate recording and timely processing
- Collaborates with the Engagement and Outreach development team to provide high-level donor service, coordinating specialized experiences such as campus tours, ticket requests, and other tailored engagement opportunities
- Provides support for the development, review, and coordination of communications and collateral for engagement programs, ensuring alignment with program goals and timelines
- Supports the development and implementation of recognition strategies for engagement program supporters, including giving milestones, lifetime or leadership members, and any other recognition opportunities
- Serves as the point person for donor inquiries, collaborating with internal teams to provide a timely response to donors
- Utilizes databases, reporting tools and related technology to support program operations and enhance the execution of donor engagement strategies
- Provides programmatic and operational support to the Director of Donor Engagement on key initiatives, projects, and priorities related to engagement programs
- Participates in key meetings, collaborating with teams across ASU Enterprise Partners to support project objectives set by leadership and perform associated administrative functions

- Project management experience is essential, along with strong analytical, strategic-thinking, adaptability, communication, and relationship-building skills
- Understand and demonstrate an extremely high level of sensitivity to customer relations, embrace a donor-centric philosophy, etiquette protocol, and drive to deliver the best possible donor experience and meet expectations.
- Strong and collegial interpersonal skills and an ability to communicate effectively in person, writing, and by phone.
- Ability to effectively manage complex situations involving numerous and sometimes competing constituencies and priorities, while remaining highly organized and handling multiple projects.
- Maintain a professional demeanor at all times.
- Display high analytical processing skills, being able to comprehend, analyze, maintain, and work with large amounts of data within spreadsheets and have or quickly gain proficiency in various software programs.
- High attention to detail, accuracy, and thoroughness in completing assigned duties
- Problem solver who can take initiative and set priorities while being flexible.
- Excellent knowledge and understanding of donor database, contact management and tracking systems: Salesforce, Workday, other donor database system(s), Microsoft Office Suite (Word, Excel, Outlook and PowerPoint), and other donor relations-related technology tools.
- Strong problem-solving skills combined with the ability to conduct research, gather data, analyze information, and prepare clear, accurate, and timely reports and documents to support development objectives
- Ability to compose content accurately; possesses strong business-style writing, proofreading and editing skills
- Maintain a high degree of confidentiality and responsibility regarding information related to Foundation and University business and confidential constituent information.
- Ability to exercise good judgment, to demonstrate an understanding of ethics related to development activities, and to use discretion in interactions with donors, prospects, volunteers, and others
- Ability to work both independently and as part of a team.
- Ability to represent the institution well.

- This position requires some early mornings and evenings to accommodate work events
- Knowledge of standard office policies and procedures.
Relevant qualifications
- Bachelor's degree in a related field
- Two (2) years' of non-profit, project management, administrative experience, fundraising, and/or advancement
- Or any equivalent combination of project management and/or administrative experience that provides the required knowledge, skills and abilities
Preferred education and experience
- Preference given to candidates with writing, project management, administrative, non-profit development, customer service, and data management experience
- Experience using Salesforce and Apsona; donor database, contact management and tracking systems
- Experience using ThankView and Survey Monkey; marketing and communications-related technology tools
