Department: Campus Recreation

Salary: $49,400-$56,200

Description: Manages the day-to-day operations of a large university program or department, including the supervision of staff employees, student workers, programs or processes. 1. Plans and develops procedures for administering a large or complex department or program. 2. Manages fiscal activities, including procurement and budget analysis. 3. Provides guidance to subordinate staff and evaluates performance. 4. Prepares abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation. 5. Creates and reviews reports of expenditures and activities. 6. May administer grants and grant-related related communications, scholarships and other operations. 7. Develops, implements and maintains appropriate policies and procedures. 8. May serve as property custodian for the department. 9. Performs other job-related duties as assigned.

MQ: Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Experience: Requires a minimum of one (1) year of directly job-related experience. Certification/Licensing: None.

General Purpose of Position: Directs, coordinates, and manages the Campus Recreation Administrative Office and administrative tasks for the Department of Campus Recreation. Manages special projects, office budget, and supports departmental data collection and assessment initiatives. Evenings and weekends required.

Summary of Responsibilities/Duties:

  • Coordinates and manages the daily schedule of multiple administrators, maintains appointments/meeting calendars, screens in-coming telephone calls, facilitates and initiates correspondence, and coordinates with other executive offices.
  • Directs and manages the department’s administrative office by overseeing staffing, access, and communication.
  • Assists with and supports hiring, training, and supervising student staff, execution of training programs, teaches standard first aid, CPR, and AED classes, and assists with bi-weekly payroll as needed. Assists with departmental student recruitment fairs, student staff trainings for 200+ students, and new hire orientations and onboarding.
  • Manages travel requests and arrangements (transportation, lodging, and other miscellaneous items) and expense reports for administrators, staff, and all searches.
  • Manages special projects, coordinates, and supports departmental meetings, retreats, and other program/functional area meetings within department; assists with the set-up and execution of departmental activities (special events and member appreciation functions); serves on committees and work teams within and outside of department.
  • Develops, tracks, and maintains the annual office budget; coordinates expenses with Business Services; research, purchases, and inventories equipment and supplies, allocates supplies within department, and manages contracts for the administrative area.
  • Drafts correspondence, memoranda, and reports.
  • Performs various departmental audits such as student employee pay rates across all program/functional areas and maintains databases.
  • Runs reports, synthesizes, and analyzes student engagement and other program evaluation, assessment and benchmark data for various reports.
  • Performs other duties as assigned. Evenings and weekends required.

Minimum Qualifications: Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical, or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4-year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Experience: Requires a minimum of one (1) year of directly job-related experience. Certification/Licensing: None. Proficiency with Microsoft Office – Word, Excel, PowerPoint, and Access. Excellent communication skills – written and verbal. Excellent customer service skills, organizational skills, and attention to detail.

Position Summary:

  • Reports to the Executive Director of Campus Recreation
  • Serves as the first point of contact for Campus Recreation within the Health and Wellbeing -Portfolio of the Division of Student Affairs.
  • Provides exceptional administrative support ensuring the efficient day-to-day operations of the office.
  • Supports the department’s mission by facilitating smooth workflows, managing communications, and offering excellent customer service to students, staff, and stakeholders
