ABOUT POMONA COLLEGE:

Located near Los Angeles, California, Pomona College is widely regarded as one of the nation's premier liberal arts colleges. JOB PURPOSE:

The Manager, Retail Services oversees the daily operation and administration of the Coop Store. This position handles staffing, budgeting, ensuring legal compliance with retail sales laws, reporting, maintaining inventory, marketing, and event planning. The Manager of Retail Services helps analyze cost and pricing of merchandise, maintains proper inventory levels, operates and maintains the Transact QuadPoint cash register system, provides coverage as necessary, and assists with document revisions. The Manager is responsible for the direction and oversight of up to 30 Coop Store student employees and all of the activities and services provided by them.

ESSENTIAL FUNCTIONS:

Reporting directly to the Director, Smith Campus Center (SCC), the Manager of Retail Services performs the following essential duties and responsibilities:

  1. Oversee the daily operation and administration of the Coop Store.
    • Ensure the College is in compliance with all Federal, State, local and College regulations regarding retail sales, including, but not be limited to, labor law, health codes, and sales tax.
    • Oversee stocking, cleaning, cash handling, cash register transactions, and daily balancing in the Coop retail operations.
    • Oversee the balancing of cash register transactions for each shift according to the College's money handling policies.
    • Build relationships with grocery and logo merchandise vendors.
    • Oversee accounts payable for the Coop Store.
    • Oversee the Coop Store website and mail-order services; hire student photographers and ensure mail orders are shipped in a timely manner.
    • Operate, maintain, and train staff in the use of the Transact QuadPoint cash register system (setting up the register and reporting) and credit card machines and process daily transactions, balance the cash drawer, adding and changing products and prices in the system, and running reports as required.
    • Prepare and report monthly budgets to the Director, Smith Campus Center (SCC).
    • Implement and maintain inventory control systems and ongoing inventory verification.
    • Maintain inventory on merchandise in the Coop Store.
    • Ensure diversity of programs, innovative activities, efficient resource management, proper promotion, and calendar coordination with College and student activities.
    • Approve and coordinate marketing efforts of the Coop Store to ensure on-going promotions, wide-spread knowledge of events, programs, and policies.
    • Maintain board and lawn game equipment for student check-out.
  2. Provide clear direction and oversight of all retail activities in order to develop and achieve annual goals, including budgeting, planning and staff development. Responsible for monitoring and evaluating student employees, and overall staff performance and daily assignments. Maintain an efficient, collegial, and proactive work environment within the Coop and collaborating departments.
    • Provide employment opportunities which are educational and supportive of the College mission, while maintaining viable business operations.
    • Oversee student payroll on Workday time keeping system.
    • Supervise the interviewing, hiring, training and evaluation of all Coop Store employees.
    • Discipline, including verbal and written warnings, and terminate employees as necessary.
    • Supervise up to 30 student employees in the Coop Store.
  3. In collaboration with student managers, update documents including, but not limited to, the Employee Manual, inventory chart, PLU book, year end and mid-year inventory sheets.
  4. Serve in various College roles and collaborations on behalf of the Student Affairs division, the Smith Campus Center and the Coop Store.
    • Serve as a member of the Smith Campus Center staff team.
    • Serve as a member of the Coop Committee, a subcommittee of the Associated Students of Pomona College (ASPC).
    • Represent the Smith Campus Center as needed, working activities and events as needed for successful completion of tasks.
  5. Coordinate special projects/tasks and provide assistance as assigned.

QUALIFICATIONS:

Education/Licenses/Certificates:

High School Diploma or GED is required, or equivalent combination of education and experience. Bachelor's degree in the areas of retail management or related field is strongly preferred. A valid driver's license is required or equivalent means of reliable transportation to off-site meetings and events.

Experience:

A minimum of 3 years of demonstrable leadership experience with increasing responsibility in the areas of retail management is required; 5 years of experience is preferred. Experience supervising students in higher education setting is preferred.

REQUIRED KNOWLEDGE AND CRITICAL SKILLS:

The Manager of Retail Services must possess the knowledge, skills and abilities to be able to successfully perform the essential functions of the position or be able to demonstrate how the essential functions will be performed, with or without reasonable accommodation, using other skills and abilities not listed below.

  1. Deploy professional skills in retail management, in collaboration with colleagues to best promote the College's strategic interests.
    • Able to supervise employees and act as a role model in providing excellent customer service to patrons.
    • Able to operate, maintain and train staff in retail stocking and inventory systems.
    • Able to operate, maintain and train staff in the use of the Transact QuadPoint cash register system (setting up the register and reporting) and credit card machines, including the College's money handling policies.
  2. Demonstrated effectiveness and clarity of verbal and written communication with excellent interpersonal communication and leadership skills to supervise, facilitate, motivate and inspire a diverse group of employees, volunteers and stakeholders from a wide variety of backgrounds. Must handle all activities and highly confidential information with patience, discretion, tact, and a keen eye for detail.
  3. Able to operate computers with basic Microsoft Office software (such as Word, Excel, Outlook), associated professional software (such as Transact QuadPoint cash register systems, credit card systems, Workday, Shopify, Internet research, menu-driven databases) and social media networking. Demonstrated understanding of the use of technology in assessing and improving Coop Store systems and processes to achieve annual goals and maintain confidentiality.
  4. Able to handle multiple tasks, meet deadlines, and work both independently and as a collaborative member of the College in support of the College's strategic vision and the division's annual goals with a high standard of integrity and ethics.
  5. Must have exceptional organizational, time management, customer service and basic accounting skills to complete work with accuracy and attention to detail.
  6. Able to safely lift up to 50 pounds.

REQUIRED HOURS:

The regular hours for this full time position are 8:00 a.m. to 5:00 p.m., Monday – Friday. Weekend and evening work hours may be required. Travel may be required. Regular hours may vary due to needs of the College or division.

ADDITIONAL POSITION DETAILS:

Regular, full-time, Exempt position. The salary range for this role is between $70,304 - $77,000, with a competitive benefits package. The specific factors that the organization will consider when offering a salary to an individual will include education, training, prior experience, and performance in prior role. All staff positions are ineligible for visa or permanent resident card sponsorship. As a California employer, Pomona College requires all employees to be residents of California.
