Background and Context
Hull York Medical School is a collaboration between the Universities of Hull and York and the NHS. The school operates from both University campuses and within teaching hospitals and medical practices throughout the Yorkshire and Humber region.
The Programme Assistant is a key student-facing support role in the effective and efficient development, delivery and evaluation for our medical programme. Working closely with both university and NHS organisations, the Programme Assistant must have a high professional standard and be willing to work flexibly and creatively, both independently and as part of a team, in a highly demanding environment. The role requires the postholder to support all aspects of programme and assessment administration, as part of a wider team, in order to deliver an exceptional student experience.
This post is based at the University of Hull campus, with occasional travel to York and NHS sites as required.

Specific Duties and Responsibilities of the post
- Responding professionally and courteously to enquiries received via telephone, in person, or electronically and provide a responsive reception and hospitality service to staff, students, and visitors.
- Provide student helpdesk support service via generic email inboxes and in person via student facing reception.
- Offering clear, accurate advice and routine support to departmental/service staff and external customers. Escalate or seek additional information where necessary to resolve queries effectively.
- Administrative support for academic, clinical and professional support colleagues as required. This will include scheduling meetings and workshops, collating papers; servicing meetings; and word processing reports, correspondence, and other documentation.
- Administrative support to departmental committee and meetings by preparing agendas and taking, transcribing and circulating minutes.
- Assist in the preparation & production of a wide range of department/service documentation using different electronic and paper based media
- Input, update, and extract straightforward data and service related information using databases and spreadsheets, and maintain an electronic and paper based filing system.
- Use computerised office systems effectively to create and revise documents, analyse data, and communicate with colleagues and external stakeholders.
- Access the school's Virtual Learning Environment (Blackboard) on a regular basis - updating, uploading and disseminating accurate information as required, creating and monitoring assessment submission points and posting replies as appropriate.
- Book rooms to meet timetabling needs, including registration activities, induction, lectures, workshops, masterclasses, conferences and assessments.

This role is 0.6FTE (21.9 hours per week) with flexibility in terms of working pattern/days worked.
