Summary of Position
Provide basic routine secretarial support by performing a combination of receptionist, bookkeeping and clerical duties. The anticipated start date for this position is August 2026. However, this is an estimated date and can be revised if needed.
Required Education
Satisfactory completion of two years college or equivalent technical training or business/technical schooling. The requirements listed are representative of the knowledge, skill, and/or ability required. Any equivalent combination of college education, training, and experience which provides the required knowledge, skills, and abilities may be considered. Equivalency for education is two years of work experience equals one year of education.
Required Work Experience
Two years full-time secretarial work experience to include bookkeeping, supervisory responsibility and public contact. Two years part-time is equivalent to one year full-time.
Additional Education/Experiences to be Considered
Proficient in the use of an electronic student records system. Proficient in on-line scheduling systems Proficient with software applications such as Microsoft Office (Word, Excel, PowerPoint, Access). Accounting skills and experience with Banner and Concur.
Essential Duties/Responsibilities
- Perform any/all duties as defined in the Secretary Level 1 position description.
- Provide support to the University College Dean's Office and assigned departments.
- Independently answer routine correspondence and draft non-routine correspondence for review and approval of the supervisor.
- Answer or refer inquiries from students, faculty, staff, and the general public regarding established policies and procedures.
- Research information as background for incoming and outgoing correspondence.
- Prepare and maintain information for such documents as correspondence, memos, reports, etc. using computer software such as word processing, spreadsheets, databases, and file management.
- Input, retrieve, download, and output information utilizing a computer to access various software programs and systems.
- Establish and maintain filing and record-keeping systems.
- Interview, train, and direct student employees.
- Coordinate special department functions and activities, meetings, conferences, workshops, and seminars, including retreats, by scheduling facilities, preparing agendas, and arranging for services and equipment.
- Monitor department budgets.
- Carries out responsibilities in accordance with university policies and applicable laws.
- Cultivates an environment of belonging that values, respects, supports, and celebrates individual similarities and differences, allowing students, faculty, and staff to thrive authentically.
- Support, promote, and develop university student enrollment and retention initiatives.
- Any other duties assigned within the position classification area.
Skills and Abilities
- Operate a variety of office machines and equipment such as a computer, facsimile, multi-line telephone, copier, and calculator, including making minor adjustments (requires some mechanical aptitude).
- Use computer software such as word processing, spreadsheets, and databases.
- Utilize the rules of proper grammar, correct spelling and punctuation, and correct arrangement of information.
- Perform basic mathematical operations with accuracy.
- Input, retrieve, download, merge, and output information from software programs and systems.
- Plan, organize, and make sound judgments and decisions.
- Communicate effectively with a variety of students, faculty, staff, and visitors in a variety of situations.
- Interpret student problems and direct students to the proper resource.
- Demonstrated successful experience working directly with people from diverse backgrounds, including cultural, educational, socioeconomic, and life experiences.
- Maintain confidential and/or sensitive information in compliance with university policies and state and federal law.
