Secretary Level 3

Position: 12 Month At Will/Just Cause: Just Cause Summary of Position: The College of Extended Studies at Ferris State University is seeking qualified applicants for a full-time Secretary Level 3 position to provide responsible, independent secretarial support in accordance with established departmental policies and procedures. This position is located in the Flint Hub at Mott Community College. This is a CTA/MEA-NEA bargaining unit position. The anticipated start date is November 2026. However, this is an estimate and may be revised as needed. Position Type: Staff Required Education: Satisfactory completion of two years of college or equivalent. The listed requirements represent the knowledge, skills, and/or abilities required. We may consider any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities. Equivalency for education: Two years of full-time, related work experience equals one year of education. Required Work Experience: Two Years of prior work experience similar to the duties posted. Two years of part-time is equivalent to one year of full-time. Required Licenses and Certifications: Physical Demands: Office Environment Bending Carrying Sitting Driving Standing Additional Education/Experiences to be Considered: Essential Duties/Responsibilities: Answer or refer inquiries from students, faculty, staff, and the general public regarding established policies and procedures. Assist students with registration, drops, and adds. Coordinate special departmental functions, such as recruitment activities, graduation, meetings, conferences, workshops, seminars, and athletic and fundraising events, by scheduling facilities, preparing agendas, and arranging services and equipment. Establish and maintain filing and recordkeeping systems. Independently answer routine correspondence. Draft non-routine correspondence for the supervisor's review and approval. Input, retrieve, download, and output information utilizing a computer to access various software programs and systems. Interview, recommend for hire, and supervise student employees. Perform any/all duties as defined in the Secretary, Level 1and Level 2 position descriptions. Perform duties related to auditing student scholastic records, checking graduation applications, and determining honor status. Prepare and maintain information for such documents as correspondence, memos, reports, etc. using computer software such as word processing, spreadsheet, database and file management. Research information to support incoming and outgoing communications. Train other lower-level clerical bargaining unit members in the characteristic duties. Verify scheduling of course offerings, classrooms, and laboratories. Maintain the confidentiality of designated information. Periodically work from transfer site offices in the surrounding area, including Delta College and Lansing Community College. This would require driving to these sites. Reports to immediate supervisor. Operates a university or personal vehicle safely while carrying out job responsibilities. Will authorize, pursuant to university policies and procedures, a driving record check and meet the driving authorization requirements during employment in a position where you are authorized to drive a vehicle as part of your duties. Carries out responsibilities in accordance with university policies and applicable laws. Responsible for maintaining confidentiality of information pursuant to university policies and/or state or federal laws. Cultivates an environment of belonging that values, respects, supports, and celebrates individual similarities and differences, allowing students, faculty, and staff to thrive authentically. Support, promote, and develop university student enrollment and retention initiatives. Any other duties assigned within the position classification area. Marginal Duties/Responsibilities: Attend meetings and conferences in the supervisor's absence. Provide backup assistance for other clerical positions and perform routine office support duties. Skills and Abilities: Communicate effectively with a range of students, faculty, staff, and visitors in various situations. Input, retrieve, download, merge, and output information from software programs and systems. Interpret students' problems and direct them to the appropriate resource. Operate a variety of office machines and equipment such as a computer, fax machine, multi-line telephone, and copier, including making minor adjustments (requires some mechanical aptitude). Perform basic mathematical operations with accuracy. Plan, organize, and make sound judgments and decisions. Use computer software such as word processing, spreadsheets, and databases. Use proper grammar, correct spelling and punctuation, and proper arrangement of information. Demonstrated successful experience working directly with people from diverse backgrounds, including cultural, educational, socioeconomic, and life experiences.
