Senior Administrative Assistant
The Opportunity
The Senior Administrative Assistant is responsible for managing the administrative operations of the Controller’s Office and providing support to the Office of the Senior Vice President and Chief Financial Officer, as needed. This role coordinates daily administrative activities, manages communications, and supports a variety of projects and initiatives. This position reports to the Vice President and University Controller and requires a high level of organization, professionalism, initiative, and discretion.
Key Responsibilities
- Coordinate and manage calendars, meetings, and related logistics
- Provide administrative and project support, including research and coordination of special initiatives
- Prepare, proofread, and edit correspondence, reports, and presentations for accuracy and completeness
- Communicate effectively with internal and external stakeholders
- Coordinate events and meetings, including agendas, materials, and catering arrangements
- Manage office operations, including ordering and maintaining supplies
- Process purchase requisitions, bid waivers, and change orders
- Assist with onboarding activities for new team members
- Coordinate travel arrangements, expense reporting, and purchasing card reconciliations
- Track and follow up on tasks and projects to ensure deadlines are met
- Attend meetings, document proceedings, and follow up on action items as needed
Qualifications
Required Education and Qualifications:
- Certificate, diploma, or degree (6-18 months post-high school) in business, accounting, or a related field
- 3-5 years of administrative experience
- Strong organizational, time-management, and multitasking skills
- Excellent written and verbal communication skills
- Demonstrated editing and proofreading abilities
- Strong attention to detail and accuracy
- Ability to work independently, take initiative, and exercise sound judgment
- Demonstrated ability to handle highly sensitive and confidential information with discretion, professionalism, and sound judgment
- Proficiency in Microsoft Office; experience with Workday preferred
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Strong interpersonal skills with the ability to interact effectively with students, faculty, staff, and visitors
