Senior Administrative Assistant, Stony Brook Foundation
Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). Two (2) years of full-time experience providing administrative support, office management, executive assistance and/or related operational support. Proficient in Microsoft Office Suite, Outlook and/or Google Workspace.
Preferred Qualifications:
Experience in a university, nonprofit, government or municipal environment, and/or large hospital setting. Experience in finance, accounting, accounts payable, accounts receivable, and/or a related area. Experience in managing calendars.
Brief Description of Duties:
The Senior Administrative Assistant, Stony Brook Foundation, supports the Stony Brook Foundation and Advancement team by serving as a central point of contact, ensuring inquiries and issues are routed to the appropriate individuals, and providing accurate, detail-oriented administrative support. The Senior Administrative Assistant is responsible for calendar planning and maintenance, coordinating and executing meeting logistics, and providing general office support. This role partners with internal units and external stakeholders to support projects that align with Advancement's strategic goals.
- Provide administrative support to Advancement Operations and Stony Brook Foundation, including managing calendars, scheduling meetings, processing expenses and handling correspondence.
- Draft, edit, and distribute various communications such as emails, reports, and announcements.
- Plan, organize, and coordinate events and meetings, including SBF Board meetings, ensuring all logistical details are meticulously handled.
- Maintain and update confidential files, records, and databases, ensuring accuracy and compliance with organizational policies.
- Assist with special projects and initiatives, by providing research, data analysis, and administrative support as needed.
- Other duties as assigned.
Special Notes:
The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research policies and procedures, sponsor guidelines and the availability of funding. This is a full-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.
