Senior Alumni Engagement Coordinator

About This Opportunity

We are seeking a dedicated Senior Alumni Engagement Coordinator to join our Central Advancement and Community Engagement team. In this role, you’ll plan and deliver a comprehensive alumni engagement program across Queensland, with a strong focus on regional and national strategy that is aligned with the University’s social impact initiative, The Queensland Commitment.

Working as a valued member of a proactive and multidisciplinary team, you will provide advice to internal and external stakeholders in all matters relating to alumni engagement and will strategically engage with stakeholders to provide tangible benefits to alumni, students, academic and professional staff.

Key responsibilities will include:

  • Coordinate high‑impact, sustainable alumni engagement initiatives across Australia and regional Queensland under the guidance of the Senior Manager, Alumni Engagement.
  • Advise Faculties and Units on alumni engagement activities to ensure a coordinated, University‑wide approach.
  • Manage senior‑level relationships with diverse internal and external stakeholders, maintaining a strong understanding of UQ’s target audiences.
  • Represent Advancement leadership at events and functions and liaise with or host external presenters and guests.
  • Plan and promote engagement initiatives to maximise participation and impact, ensuring messaging aligns with Advancement and University strategic priorities.
  • Work with external suppliers to secure optimal outcomes for event logistics, including venues, catering, photography and audiovisual requirements.
  • Prepare all event briefing material, such as event proposals, run sheets, briefing notes and guest lists and ensure these are distributed in a timely manner.
  • Collaborate with Advancement colleagues on pre‑ and post‑event communications to ensure strategic objectives are met and engagement opportunities are maximised.
  • Monitor engagement metrics, update data promptly, and adjust programming to meet targets.
  • Partner with the Annual Giving team and Faculties to integrate giving opportunities into engagement activities and support donor development.
  • Oversee program budgets, provide recommendations on priorities and expenditure, and prepare detailed budgets and reports for each initiative.

Travel and Out of Hours Work

  • Some event‑related travel may be required.
  • The Senior Alumni Engagement Coordinator will be required to work after hours on occasion and may be required to work on weekends.

Organisational Relationships

  • This position reports to the Senior Manager, Alumni Engagement and has one direct report.

About You

  • Tertiary qualifications with relevant experience, or extensive experience in alumni or community engagement.
  • Experience working within a tertiary education environment (highly desirable).
  • Demonstrated organisational and planning capability, with strong attention to detail, sound judgment, and the ability to prioritise, use initiative and meet deadlines in a fast‑paced environment; flexible and adaptable, with the ability to respond constructively to changing priorities and circumstances
  • Broad understanding of alumni engagement principles and their role in supporting fundraising and volunteer initiatives.
  • Proven ability to build trust and work effectively with volunteers to achieve shared objectives.
  • Demonstrated experience delivering high‑quality events and engagement activities that achieve strong participation and impact.
  • Strong track record of working collaboratively with diverse stakeholders in a service‑oriented environment, with excellent interpersonal and communication skills, and the ability to build relationships, manage sensitive information with discretion, and engage effectively with stakeholders at all levels.
  • Positive, emotionally intelligent and collaborative, contributing to a supportive, high‑performing team culture.

Appointment to this role is subject to the successful completion of relevant pre-employment checks, which may include verification of the right to work in Australia, qualifications criminal history checks, and other role-specific requirements (ie. Blue Card checks). This may also include checks relating to gender-based violence matters or other integrity and conduct requirements.
