Job Description
Basic Function and Responsibilities:
The Senior Enrollment Specialist provides information and assistance to students, staff, and the Oakton community. Delivers comprehensive general information regarding all aspects of college procedures, programs, and services that pertain to the enrollment process. The position has a primary emphasis on excellent customer service to support achievement of enrollment goals.
Characteristic Duties and Responsibilities:
- Greet and welcome students, parents, visitors, faculty, staff, and community members who visit the Enrollment Center with a friendly, service-oriented attitude. Assist students in person or virtually, via appointment or on-demand when they contact the Enrollment Center.
- Assist the Senior Manager of Enrollment Services with the planning of activities/trainings, assessment, and the activities of the Enrollment Center during peak periods that support the All Hand on Deck initiative.
- Provide expert representation of Admissions, Academic Advising, Registration, Financial Assistance, and Student Records by providing information to students and the community via telephone, electronic communication channels (e.g., email, chat bot, website), or in-person. Provide relevant information related to a student's account, make changes to a student's record, and/or refer to another department/individual as needed.
- Offer educational assistance to students related to enrollment services functions that support admission, registration, and payment activities.
- Proactively review a student's account to determine their residency status and billing rate and provides options for obtaining the in-district tuition rate. Provide students with information related to holds, refunds, payment options, and other information related to the financial obligations associated with registration.
- Responsible for registration of students in courses according to established guidelines utilizing judgment in the application of policies and procedures.
- Identify and report technical issues with student systems and other technology related to student records, troubleshoot student technical issues, and refer to IT Help Desk as needed.
- Lead the training and provide functional supervision of student employees.
- Provide intentional outreach to students via personalized email and/or call campaigns to inform students about deadlines and other important enrollment-related information. Follow up with students, as needed, in relation to registration, payment and other enrollment-related tasks.
- Perform other job-related duties as assigned.
Supervision Received:
Administrative supervision is received from the Director of Admission and Enrollment. Functional supervision is received from the Senior Manager of Enrollment Services.
Supervision Exercised:
Functional supervision exercised over student employees.
Requirements
Required Qualifications:
- Associate's degree required or an equivalent combination of education and higher education experience from which comparable knowledge and abilities can be acquired.
- Two years of Enrollment Center / One Stop experience.
- Demonstrated ability and desire to work and interact directly with students with a strong dedication to customer service, problem solving, organization, and attention to detail.
- Advanced knowledge of student systems, including Banner, Banner Financial Aid, CampusLogic, OnBase, TargetX, chat bot, and other technology related to student records.
- Ability to work independently as well as part of a cohesive team.
- Ability to interact professionally and tactfully with people of different levels of education, cultural backgrounds, and life experiences, and to exhibit an adequate level of respect to fellow employees and the College community at large.
- Proficiency with Google Workspace.
- Ability to travel to and work on different campuses as needed.
Preferred Qualifications:
- Experience with customer service technologies.
Physical Demands and Working Conditions:
Light lifting up to 10 lbs. and light carrying up to 10 lbs. Ability to reach above shoulder. Periods of time spent sitting, standing, walking, kneeling, bending and stooping. Mobility to move from building to building on-campus and to visit off-campus entities. Work is performed in a general office environment and sedentary in nature. Little or no exposure to adverse working conditions.
Additional Information
HOURS: Monday - Friday 8:15 am - 5:00 pm (Ability to work flexible hours at both the Skokie and Des Plaines campuses including some evening hours consistent with student needs).
SALARY: The hourly salary of this position is $25.80 which equates to $51,982 annualized based on Oakton's summer hours schedule. Please note the salary may change due to the completion of staff contract negotiations.
Based on the needs of the college and with Administrator approval, some positions at the college may have a hybrid schedule option available after 30 working days.
