Senior Executive / Executive (Venue Management)
Job Description
Duties & Responsibilities
- Build and maintain strong relationships with both internal and external hirers for events, conferences, roadshows, seminars, and training sessions, ensuring all requirements and expectations are met.
- Respond promptly to feedback and enquiries, handling service recovery to maintain high levels of satisfaction.
- Conduct site visits with potential hirers, providing detailed tours and addressing event-specific needs.
- Prepare and issue timely and accurate quotations, booking agreements, and related documentation for hirers.
- Achieve monthly revenue and utilisation targets through effective booking management and client engagement.
- Manage all procurement-related matters, including issuing purchase orders and processing contractor invoices in a timely manner.
- Oversee internal and external billing and collections, ensuring prompt and accurate transactions.
- Prepare comprehensive monthly reports on revenue, utilisation, and hirer profiles for management review.
- Oversee the implementation of health and safety protocols, including emergency preparedness plans, for each event.
- Coordinate with housekeeping and security teams to ensure the smooth execution of all events.
- Manage event timelines, ensuring efficient execution of setup, breakdown, and overall event flow.
- Conduct post-event evaluations to gather feedback, assess event outcomes, and identify areas for improvement.
- Collaborate with the maintenance office to uphold the proper upkeep and maintenance of all facilities.
- Liaise with the booking system vendor to address system changes, enhancements, or technical issues.
- Perform any other related duties as assigned.
Qualifications
Requirements
- Degree in related field.
- At least 3 years of proven experience in event management
- Excellent communication, partnership, collaboration, and project management skills.
- Strong time management and multitasking abilities, flexibility, and professional confidence.
- Ability to effectively handle multiple project requests in a fast-paced environment.
- Familiarity with CRM and management software including proficiency in MS Office applications.
