Hosted by the School of Social Sciences, the Master of Science in Applied Gerontology programme provides a holistic and advanced education in the rapidly expanding field of gerontology. It is designed to provide students with in-depth knowledge, skills, and experience to work with older people.
We are looking for a Senior Executive to support the smooth running of the programme. The incumbent will provide good administrative and logistical support to a variety of important tasks, in areas ranging from programme publicity, student admission, academic, financial and graduation matters.
Responsibilities:
Programme Publicity
- Update and enhance the website’s information
- Disseminate e-flyers
- Organise Information Sessions for prospective students and other target audiences
- Prepare slide decks for Information Sessions
- Raise Purchase Requests (PR) for catering services, booking of venues via Ariba system
Student Admission
- Process application materials and arrange for interviews
- Prepare admission documents
- Prepare and collate scholarship documents
Academic matters
- Handle course registration matters, leave of absence and conversion of candidature
- Liaise with course coordinators on curriculum matters
- Handle Student Feedback for Teaching
- Provide logistics support for the smooth running of courses
Financial matters
- Prepare information for billing of tuition fees
- Draft appointment letters/letters of invitation for lectures/guest lecturers
- Handle payment requests and honoraria for lecturers/guest lecturers
Event matters
- Support logistical arrangements for student events and industry visits
Graduation matters
- Monitor students’ progress for graduation
- Ensure the students graduate on time
Other Duties
- Support the communication of key School news and events to current and prospective students and the alumni
- Provide administrative support for School-level events and initiatives as assigned
- Assist in any ad hoc matters as required
Requirements:
- A recognized degree in any field
- At least 2 years of relevant experience.
- Experience in working at an Institute of Higher Learning would be an advantage
- Excellent interpersonal, communication, and analytical skills
- Strong organizational and problem-solving skills
- Proficient in Microsoft Office (Excel, PowerPoint, Word)
- Meticulous, proactive, and resourceful with a passion to achieve
- Able to work independently as well as in a team to achieve goals
