Kōrero mō te tūranga - About the role
Kāpuhipuhi - Wellington Uni-Professional is currently recruiting a 6-month, fixed-term Senior Programme Coordinator to support the delivery of Manaaki Thematic Short Term Training Scholarship programmes (TSTTS) during a peak intake period.
The Senior Programme Coordinator – Scholarships (SPCS) will play a critical role in ensuring the smooth and accurate delivery of programmes under the Manaaki Scholarships portfolio, as outlined in the Role Description. This role is based at our offices in Rutherford House, Pipitea Campus.
This role provides essential coordination and administrative capability to ensure we meet our contractual commitments and deliver a seamless scholar experience.
Key responsibilities:
- Shape the scholar experience, from supporting pre-departure application, briefings, and event logistics to providing responsive pastoral care and administering financial processes with accuracy and integrity.
- Work collaboratively across the Scholarships portfolio and wider international programmes, you will combine strong organisational capability, attention to detail, and a proactive, service-focused mindset to help deliver an outstanding end-to-end experience for every scholar.
- Ensure smooth scholarship delivery through efficient, accurate processes.
- Maintain high-integrity application data, documentation, and reporting.
- Coordinate scholar logistics, including documentation, travel, accommodation, insurance, and stipends.
- Deliver orientation and manage event and classroom logistics.
- Provide responsive pastoral care and manage enquiries.
- Process financials, certificates, and evaluations accurately.
- Support the wider Scholarships and International programmes as needed.

- Proven experience in administration, coordination, or programme support - strong time and project management skills, ensuring deadlines are met and outcomes achieved in a dynamic, fast-paced environment.
- Excellent self-management and organisational skills, with the ability to plan, prioritise, and deliver results while maintaining strong attention to detail.
- Confidence working with financial data, excel spreadsheets, and basic financial processes – including paying invoices and other payments (such as stipends).
- Experience managing multiple concurrent tasks in a fast-paced environment and ability to problem-solve and remain calm under pressure.
- A customer-focused mindset and commitment to service excellence.
- High integrity and the ability to handle sensitive information with discretion.
- A genuine respect for and responsiveness to Māori and multicultural perspectives, upholding Kāpuhipuhi - Wellington Uni-Professional’s values of inclusion and partnership.
- Highly developed communication skills, both written and verbal, with the confidence to engage across all levels of the organisation and seek feedback to improve.
