Senior Project Officer (Events)
About the opportunity
The Senior Project Officer (Events) is responsible for developing, implementing and managing a diverse range of events for the Business School's Dean, Faculty General Manager, Director, External Engagement & International, the Senior Leadership Team and external stakeholders across the Business School and wider community.
This role works with the Director, External Engagement & International to deliver events that are strategically aligned with the Business School's priorities and long-term vision. The incumbent will also provide professional advice and guidance to other members of the Business School on events.
Your key responsibilities will be to:
- manage and implement a wide range of events such as conferences, launches, luncheons, dinners, receptions, ceremonies and other events, of varying sizes
- develop and maintain effective and productive relationships with multiple event stakeholders across the Business School, University and external partners
- manage event finances including preparation and submission of journal transfers, supplier contracts, quote waivers, purchase orders, monitoring of event budgets and coordination of financial reports required
- manage event team performance and resourcing including event staffing, allocation of work, goal/target setting, and review of deliverables
- implement event risk analysis, mitigation and compliance procedures
- implement, manage and maintain online event management software (SwiftDigital), including supporting the administration of complex and paid events.
About you
- proven experience in event management within complex or multi-faceted organisations, with the ability to manage multiple work streams and tight deadlines
- strong stakeholder management skills, including coordinating with senior internal and external stakeholders and delivering high-quality customer service
- project management capability, with demonstrated planning, organisation, and delivery of large or complex events/projects
- financial and numeracy skills, including budgeting, reconciliation, invoice processing, and tracking project expenditure
- excellent communication skills, with the ability to provide professional advice and collaborate effectively across teams
- strong analytical, problem-solving, and critical thinking skills, with sound decision-making ability
- high attention to detail and organisational skills, ensuring accuracy across all event and project activities.
- technical proficiency, including CRM systems, event management software, and design tools (e.g. Adobe InDesign and Photoshop)
- previous experience in the higher education/tertiary sector or at a complex, multi-faceted organisation.
