Job Description
The UMKC Conservatory Academy, an auxiliary unit supporting the UMKC Conservatory, is seeking a Program Coordinator to support a wide range of educational and community-focused initiatives. The Academy offers non-credit lessons and classes, continuing education courses, community outreach programs (Bridges), the Conservatory Gig Office, and faculty-led events such as festivals, camps, symposiums, workshops, masterclasses, and clinics. The Academy also manages invoicing systems for external clients utilizing its services and facilities.
The Program Coordinator will play a key role in coordinating the Conservatory Gig Office, managing client accounts and invoicing, and supporting faculty-led events.
Key Responsibilities
Responsibilities include, but are not limited to:
- Manage communications related to student musician performance inquiries
- Coordinate gig assignments, contracts, and invoicing
- Create, track, and process invoices and contracts for external clients, including those related to clinics, festivals, services, and facility/equipment usage.
- Assist the Academy Director with planning and executing special events, including marketing materials (flyers and brochures), registration, and event logistics.
This position reports directly to the UMKC Conservatory Academy Director.
Shift
- 20 hours per week, Monday–Friday
- Flexible schedule; however, attendance to Academy events is required
- Occasional evening and weekend hours (Saturday and Sunday) may be necessary
Minimum Qualifications
Bachelor’s degree or an equivalent combination of education and experience that demonstrates comparable knowledge and skills
Preferred Qualifications
- 2+ years of customer service and administrative/clerical experience
- 1–2 years of performance experience (musician preferred)
- 1–2 years of event coordination experience
- Experience with enrollment and/or invoicing software
- Proficiency in Canva and Microsoft Office Suite
Anticipated Hiring Range
The anticipated hiring range for this position has been established as $20.00 hourly.
Salary is determined by a variety of factors, including but not limited to, the individual’s particular combination of education, skills, and experience, as well as organizational requirements.
Grade: GGS 8
