The short course coordinator will be responsible for organising and managing the logistics and administration of short courses. Overall, the short course coordinator ensures smooth operation, from planning to execution and evaluation, while fostering a positive learning experience for delegates. The role involves understanding stakeholder needs, ensuring effective communication, and promoting collaboration to align Wits Plus objectives and delivery with internal and external stakeholder expectations.
Brief Description
Reporting to short course operations manager
Key Responsibilities
- To arrange and co-ordinate the logistical and technical requirements for short courses, including the administration and overall coordination of the courses.
- Accept ownership of identifying new and innovative opportunities for short courses that could be offered by the University and work with the short course teams to move the ideas to implementation.
- Book venues and catering in advance and ensure costs do not exceed the set budget.
- Collaborate with marketing teams to promote the courses to prospective students.
- Set course schedules, including dates and timings that suit the target audience, in consultation with the facilitator.
- Coordinate with guest speakers or external facilitators if necessary.
- Communicate with facilitators at least 3 weeks in advance of pending courses.
- Monitor payments and inform faculty/school at least 3 weeks in advance as to course registrations and viability.
- Arrange for the reproduction of course material and compilation and distribution of course packs.
- Check venues and technical equipment to ensure that they are as per booking request.
- Manage student enrolment processes, including registration, fee collection, and documentation.
- Print certificates at the completion of a course.
- Act as the primary contact for facilitators, providing support before and during the course.
- Coordinate and confirm teaching materials, assignments, and assessments.
- Collate attendance and evaluation forms at the completion of training.
- Upload all course material, attendance registers and evaluation forms onto Dropbox.
- Notify Finance of credit card transaction.
- Send all information to the operations manager at the completion of the short course.
- Problems lying outside the coordinator’s ability must be identified and communicated to the operations manager.
- Complete ad-hoc tasks as requested.
- Assist other team members with ad-hoc tasks when necessary.
- Follow-up on all applications and convert these to registered and paid delegates.

Qualifications and Skills
- At least a national diploma in appropriate subjects.
- Short course coordination: 2+ years of experience in administration and coordination, or a similar role.
Work Conditions
- Full-time position, Monday to Friday in office.
- Saturdays (depending on courses)
