Space Systems Coordinator at JCU Townsville: What the Role Actually Involves

The job sits closer to floor plans than to launchpads.

Jobs at JCU - go to AcademicJobs.com/au

Most people read the words Space Systems Coordinator and picture a launchpad. At James Cook University, the job sits much closer to floor plans than to satellites.

The university's Townsville campus has advertised the role as part of the machinery that keeps rooms, buildings and teaching space working. It is a systems and data job, the kind that determines whether a semester starts without timetable clashes and whether the university actually knows what space it has. That sounds unglamorous. It is also exactly the kind of role that falls apart quietly when nobody owns it.

If you're a candidate, don't confuse this with an aerospace posting. If you're a hiring manager or a timetabler reading this, you already know how many meetings begin with the words “we think that room exists”.

What the role actually manages

Space Systems Coordinator roles in Australian universities usually sit in the estate or property function, next to capital works, timetabling and facilities management. The day-to-day is less about booking individual rooms and more about maintaining the system that describes every room: floor area, room type, capacity, AV equipment, ownership, condition and usage data.

You're the person who audits floor plans after a renovation, updates room classifications when a lab becomes an office, and checks that the timetable system and the space system are talking to each other. If an academic says their class has 45 students but the system says the room holds 30, your job is to find out which number is wrong.

Suppose a building gets a new accessible toilet installed and a storage room disappears. The construction team updates the drawing, but unless the space system is updated, the central database still shows the old layout. Six months later, a timetabler allocates a class to a room that no longer exists. Your job is to stop that gap before it happens.

JCU top jobs on Academic Jobs Australia

  • Running space utilisation audits and reconciling differences
  • Supporting timetable data requests, room changes and occupancy reporting
  • Working with facility managers, IT staff and administrative teams to fix source data

Why poor space data costs a university real money

James Cook University has a main campus in Townsville, a significant campus in Cairns and other regional sites. Each campus has teaching rooms, research labs, clinics and offices that must be catalogued. When the data is stale, the university under-uses space, schedules badly or plans new buildings on bad numbers.

Tertiary Education Facilities Management Association (TEFMA), the professional body for university estates and facilities in Australia, has spent years pushing campus space benchmarking because the stakes are high. Universities don't rent their buildings in the normal sense, but they still pay to run them: cleaning, air conditioning, maintenance, security and depreciation. A room that sits empty because the system says it's too small is a recurring cost, not a one-off mistake.

TEFMA's space planning guidance shows why institutions treat space data as an asset rather than a clerical task.

Universities are also facing more pressure to use existing buildings efficiently. Federal and state infrastructure funding comes with expectations about asset utilisation, and university councils ask hard questions before approving a new building when existing space is under-used. A Space Systems Coordinator is the person who gives them the numbers.

What the listing doesn't spell out

The official ad will list systems experience and attention to detail. The unstated part is that this role sits at the intersection of timetabling, property, academic operations, and the occasional capital project. Strong candidates can read a floor plan, query a database and stay calm when a dean emails about a room that disappeared between the draft timetable and week one.

You don't need to be an architect. You do need to understand how room data flows from CAD drawings into space management software, and then into the timetable. If you've worked with Archibus, Concept Evolution, Planon, FMX or a university-specific room booking system, say so early in your application. The hiring panel will scan for those names.

This is also a relationship job. You'll need cooperation from academics who think their room is theirs, from facilities teams who know the building changed, and from IT staff who control the integration layer. The technical part is learnable; the ability to keep people moving toward accurate data is harder.

Who should apply

This role fits someone who has worked in university administration, local government property, health facilities or infrastructure planning. The systems names vary, but the core skill is the same: you can hold a data set in your head, spot where it disagrees with reality, and do something about it.

Timetabling staff, space planners, CAD technicians and database coordinators often move into this kind of job. So do people from corporate property teams who want a more stable employer with a messy, interesting portfolio. You don't need a doctorate. You need evidence that you've cleaned up bad data and kept it clean.

If you're coming from outside higher education, don't let university jargon put you off. A room is a room. A timetable is a schedule. The difference is the number of people who care about the output and the speed with which they email you when something breaks.

How to apply before the pool thins

The job is live on the James Cook University careers portal. You can also view the listing on AcademicJobs if you want a cleaner summary of the same role.

Before you apply, go back to the university jobs board and look at similar roles at other institutions. You'll notice common selection criteria: experience with space management systems, demonstrated ability to run audits, and a knack for fixing data at source. Match your application to those words. The committee will be reading against them.

Here's what to do this week:

  • Open the JCU ad and note the closing date and any required selection criteria.
  • Rewrite your resume to lead with space management systems, data audits and stakeholder work, not generic administration.
  • Prepare a short example of a time you found a data error and fixed it.
  • Check whether you've used any timetabling or room booking software and name it explicitly.

If the ad asks for a cover letter, write it as a one-page case for why you can be trusted with the university's space data. Don't restate your job history. Tell them what you'd audit first.

Do not wait for the closing date. Strong applicants in higher education professional roles get picked off early. Once the shortlist forms, the conversation moves quickly.

Before the weekend, open the JCU listing, confirm the deadline, and send an application if your background matches. If it doesn't quite match, spend an hour updating your resume around space systems and data accuracy so you're ready for the next one.

Frequently Asked Questions

🗂️What is a Space Systems Coordinator at a university?

At Australian universities, a Space Systems Coordinator manages the administrative and data systems that track physical space: rooms, floor areas, capacities, and usage. The role usually sits in the estate or facilities team and supports timetabling, capital planning and space audits.

🏫Is the JCU Space Systems Coordinator role an aerospace job?

No. Despite the title, the role is focused on campus space planning and systems rather than spacecraft or satellites. James Cook University uses the title for a built environment and data coordination role.

📍Where is James Cook University's Townsville campus?

The Townsville campus is in the suburb of Douglas, in North Queensland. JCU also has a significant campus in Cairns and smaller regional sites, which makes multi-campus space data essential.

🖥️What systems experience does the role likely require?

Experience with space management or integrated workplace management systems such as Archibus, Concept Evolution, Planon or FMX is common. Experience with university timetabling software such as Syllabus Plus is also valuable.

📋Do I need a degree to apply?

Most university professional roles value relevant experience over a specific qualification. A diploma or degree in property, information management or a related field helps, but demonstrable data accuracy and system experience often matters more.

🔍What does a space utilisation audit involve?

A space utilisation audit checks how often rooms are booked against how often they are actually used. It includes room surveys, timetable data extraction and reconciliation, and produces utilisation rates that guide future space decisions.

🕒How does space data affect university timetabling?

Timetabling systems rely on room attributes such as capacity, layout and equipment. If the space system has wrong data, students can be allocated to rooms that are too small, double-booked, or missing required AV equipment.

👥Who should apply for this role?

People from university administration, local government property, health facilities, or infrastructure planning often fit well. Timetabling staff, space planners, CAD technicians and database coordinators are strong candidates.

✉️What should I include in my application?

Lead with space management systems, audit work and data integrity examples. Name the software you've used, describe a specific error you fixed, and tailor your cover letter to selection criteria.

🔗Where can I apply for the JCU Space Systems Coordinator role?

Apply through the James Cook University careers portal. You can also view the listing on AcademicJobs.

🚗Does the role involve travel between JCU campuses?

It can. A multi-campus university needs consistent space data, so occasional travel to Cairns or other regional sites for audits and stakeholder meetings is likely, depending on the team structure.

📊How is a Space Systems Coordinator different from a Facilities Coordinator?

A Facilities Coordinator handles day-to-day maintenance, cleaning and building services. A Space Systems Coordinator focuses on the data layer that describes those buildings: room records, utilisation and allocation decisions.
