Description of Job Duties and Responsibilities
Position Summary:
The Sponsored Programs Associate supports the full operations of the University's Office of Sponsored Programs. This role helps identify funding opportunities, assists with proposal development, supports award management, and ensures compliance with institutional, state, and federal requirements. The position works closely with principal investigators, faculty, staff, and external sponsors to advance the University's mission and strategic initiatives.
Key Responsibilities:
Grant Research & Proposal Development
- Research grant opportunities aligned with the University's funding needs, including reviewing funder history, priorities, and submission requirements.
- Maintain records of potential funders, upcoming opportunities, and submitted proposals.
- Gather required information and draft proposal narratives and application materials.
- Edit and proofread proposals, reports, and related documents.
- Assist with newsletters highlighting current funding opportunities and special features.
- Review proposals and budgets for alignment with solicitations and proposal requirements.
- Follow established internal review and approval processes for all submissions.
Award Management & Compliance
- Draft media releases for awarded grants.
- Assist in preparing grant-related budgets and financial reports.
- Support award processing and ensure compliance with institutional, state, and federal regulations.
- Assist with managing grant-related purchases, expenditures, and temporary appointment hires as needed.
- Ensure adherence to all applicable procedures and regulatory requirements.
Administrative & Organizational Support
- Attend required meetings, trainings, and workshops.
- Participate in internal policy review and provide training to principal investigators as needed.
- Facilitate communication among the Office of Sponsored Programs, principal investigators, University departments, and sponsoring agencies.
- Manage or assist with special projects and perform other duties as assigned.
Minimum Required Education
- Bachelor's degree from an accredited college or university.

Minimum Required Qualifications
- Excellent verbal and written communication skills
- Effective editing and proofreading skills
- Ability to analyze and organize information and to write clear, structured, and persuasive text
- Ability to manage multiple projects simultaneously
- Excellent organizational and time-management skills, with particular attention to detail
- Ability to work independently and collaboratively in a deadline-driven environment
- Proficiency in Microsoft Office (especially Word and Excel), Adobe Suite, and Canva
Preferred Qualifications
- At least two years of professional experience in a comparable role, with a proven track record of writing and securing successful grant proposals
- Experience working in an educational setting, ideally within higher education
- Bachelor's degree or higher in a relevant field
