Utah Valley University is seeking a Senior Administrative Assistant for the School of the Arts who excels in a dynamic, collaborative environment and takes pride in supporting meaningful work. Summary of Responsibilities
- Performs advanced and confidential administrative support duties, including routine correspondence, meeting minutes, special events, and obtaining factual information requiring knowledge of policies/procedures of both assigned and work-related areas. Anticipates executive's course of action when absent and facilitates problem resolution.
- Manages the administrative functions of the dean's office suite. Handles incoming calls, emails, and walk-in traffic providing correct and accurate information. Informs students, faculty, and public of departmental and university services available. Maintains knowledge and explains the school policies and procedures to employees, visitors, etc. as necessary.
- Maintains dean's calendar. Organizes meetings, schedules rooms, attends as appropriate and keeps accurate minutes. Schedules dean's conference room and VIP parking. Assists with school events and planning. Assists with projects and serves on committees within the institution as assigned.
- Assists with financial activities including ePAF's, requisitions, purchase orders, and travel.
- Maintains inventory of office equipment and supplies. Handles other office duties as needed which may include supervision of office support. Updates and maintains faculty and staff files.
- Perform other job-related duties as assigned.
Qualifications / Licenses / Certifications
Graduation from an accredited institution with an associate degree and three years of experience related to the summary of duties, or any combination of education and/or experience totaling five years.
Preferred Qualifications
Graduation from an accredited institution with a bachelor's degree and one or more years of experience related to the summary of duties.
Knowledge / Skills / Abilities
Knowledge
- Knowledge of standard office methods, techniques, practices, and procedures.
- Knowledge of budgets and financial reports.
- Knowledge of event planning.
Skills
- Skills in the use of computers and computer software applications, including word processing, spreadsheets, e-mail, databases and presentations.
- Skills in using AI as a tool in fulfilling responsibilities.
- Skills in the preparation and interpretation of reports, charts, graphs, and tables.
