Job Description
The Staff Assistant provides essential administrative and clerical support to the Chair and Professor of Naval Science (PNS). This role acts as a vital liaison between the University and the Naval Reserve Officer Training Corps (NROTC) faculty and staff, ensuring smooth operational flow within the department. Working under general instructions, the Staff Assistant handles routine departmental tasks while maintaining high standards of accuracy and adherence to University guidelines. This position reports tothe Professor of Naval Science (PNS) or designated departmental supervisor.
Key Responsibilities
- Administrative Support: Provide comprehensive clerical assistance to the PNS, including scheduling, correspondence, and file management.
- University Liaison: Serve as a primary point of contact between NROTC staff and University administrative offices to facilitate departmental needs.
- Policy & Procedure: Recommend improvements or changes to operating policies and procedures within the unit to enhance efficiency.
- Operational Execution: Follow standardized instructions to complete recurring tasks, ensuring all work meets University and Departmental standards for adequacy and accuracy.
Position Requirements & Scope:
- Problem Solving: Solutions are generally set and clearly defined by existing policy, guidelines, or direct supervisor instruction.
- Decision Impact: Decisions primarily affect the internal operations of the Naval Science Department.
- Oversight Received: Receives clear, specific instructions. Work is regularly reviewed for adherence to procedures. Consults with supervisor on any matters falling outside standard guidelines.
- Policy Responsibility: Authorized to recommend changes to unit-level operating procedures.
Note: This position requires a collaborative individual who can balance the unique requirements of a military-affiliated department within a university setting. Consistent attendance and a professional demeanor are essential.

Qualifications
- Education: High school diploma or GED required.
- Experience: 6 to 12 months of related administrative or clerical experience.
- Knowledge: General understanding of office management and University administrative structures.

- Effective verbal and written communication for liaison duties.
- Proficiency in standard office software (word processing, spreadsheets, email).
- Ability to maintain confidentiality and handle sensitive information with discretion.
