About This Opportunity

We are seeking a motivated, energetic and organised Student Advisor and Assessments Officer in UQ Business School to undertake student advising, exam and assessment administration within the School of Business. This hybrid role will support with the coordination of a cohort of current and prospective postgraduate students (both domestic and international); as well as assisting with assessment, examination and misconduct related activities for courses within the School.

Dual reporting to the Assessment, Exams & Misconduct Coordinator and Assistant Student Administration Manager, the role is responsible for the following duties which include, but are not limited to:

Key responsibilities will include:

Postgraduate Advising:

  • Provide accurate and timely advice to current and prospective students and process documentation in relation to admissions, enrolment, progression, exchange studies, graduate matters, etc. in postgraduate programs within Business School
  • Apply a sound general knowledge of student administration and develop specific knowledge of University rules, policies and procedures relating to student and academic administration
  • Contribute to the development and implementation of administrative procedures for postgraduate programs offered through Business School on an on-going basis
  • Represent the Business School at UQ Open Day, graduation ceremonies, postgraduate webinars and other events as required
  • Undertake other duties as directed by the Student Administration Manager

Examinations and Assessment:

  • Provide accurate and timely verbal and written advice to academic staff, School administrative staff and students in regard to procedures and related policies for assessment, examinations and results/grades to ensure examination and assessment processes meet a high level of accuracy, consistency and transparency across courses
  • Check and upload grades to Si-net for the School, adhering to University deadlines
  • Assist with the administration of processes not limited to Request to Amend Grades (RTAG), Remark of Assessment, applications for deferred in-semester examinations, Extension of Assessment Due Date and Alternative exam arrangements in accordance with University and Faculty policies
  • Liaise between Course Coordinators and Central Examinations to ensure the accurate and timely entry of examination requests (in-semester and end-of-semester) in the UQ Exams Management System (EMS) and the administration of matters related to examinations, including exam management/supervision as required.
  • Check examinations (in-semester, end-of-semester, deferred and supplementary) and exam settings on Blackboard and ensure the timely upload of exams to UQ EMS and/or Learn.UQ
  • Assist with the administration of student misconduct cases within the School, following the policy and procedures to best support School Integrity Officers. Undertake associated liaison with Student Conduct on matters of student misconduct.

About You

  • A bachelor’s degree in a relevant area or an equivalent combination of relevant experience and/or education/training
  • A minimum of two years administration experience, preferably within student administration, within the tertiary sector
  • A broad knowledge of the University’s policies and procedures, particularly in relation to student matters.
  • Knowledge of University student computer systems e.g., SI-net, CRM, UniTask and UQ Reportal, or the ability to rapidly gain such knowledge
  • Demonstrated effective oral and written communication skills, in particular the ability to effectively and tactfully communicate with clients, ensuring cross-cultural sensitivity
  • An empathy and ability to communicate with students, including those with disabilities and from diverse cultural backgrounds
  • The ability to work collaboratively and effectively within the team and across other organisational units.
  • A strong orientation to the provision of a high level of customer service, with demonstrated time management skills and the ability to meet deadlines
  • Strong problem-solving skills and ability to contribute to continuous business process improvements

Appointment to this role is subject to the successful completion of relevant pre-employment checks, which may include verification of the right to work in Australia, criminal history checks, and Blue Card checks. This may also include checks relating to gender-based violence matters or other integrity and conduct requirements.
