Hours/Work Schedule:
The College Business Hours are 8:30am - 4:30pm. This position may occasionally required evening and weekend hours.
Working Conditions:
Typical indoor office exposure with regular outdoor exposure. Based on Willowbrook Woods with shared office in the Clubhouse House (on rotation) and private office in the Resident Support Suite. Regular daytime hours with evening and some weekend hours.
Physical Duties:
Occasional periods of light physical work including lifting may be required. Occasional driving. The job is a mixture of sedentary to light work. Must be able to lift approximately 15 lbs. Must be able to climb stairs to third floor apartments. Must be able to drive a College vehicle (including the 14-passenger van). Must have the ability to effectively interact and communicate with residents and parents in person, by phone, and by email. Must be able to act immediately and to consult with supervisor(s) and other College Officials as needed. Basic Statement of Responsibilities
The Student Community Coordinator is professional staff (non-student) position whose primary role is management of daily operations in the College’s on-campus housing community, Willowbrook Woods. The Student Community Coordinator provides stability to the living/learning community comprised of up to 224 [primarily] first- and second-year students. One of two Student Affairs positions based in Willowbrook Woods, the Student Community Coordinator provides information, guidance, and navigating matters directly related to the College and to Willowbrook Woods. In addition to many traditional residence life tasks, the unique role of the Student Community Coordinator is building community with engagement, educational support, communications, conflict mediation, and supervising Resident Assistants. The person working in this position has the option to live at campus housing.
Essential Functions
Operational Functions
- Provide professional presence on-site at student housing;
- Serve as a resource to students and/or make referrals to campus resources.
- Manage day-to-day office operations
- Oversee openings and closings of student housing;
- Complete roommate matching
- Respond to resident issues and emergencies as needed.
- Manage residents’ keys including assigning, issuing, collecting, and replacing.
- Manage late arrivals and early departures.
- Update floor charts, rosters, and other resident lists as needed.
- Greet and inform Willowbrook Woods tour groups as available.
- Manage petty cash (for emergencies) including documentation, replenishment.
- Submit work orders for any facilities issues to common areas including Clubhouse, office space, courtyard, parking lots, building exteriors, etc.
- Liaise with Physical Plant regarding work orders and housing facilities
- Liaise with Pest Control vendor and manage any pest issues
- Collaborate with related College personnel regarding facility and furnishing needs
Specialized Functions
- Recruit, select, and train Resident Assistants
- Supervise and support student Resident Assistants
- Oversee and implement the RA programming model
- Organize recreational programs as needed for a robust calendar of engagement opportunities
- Prepare and implement Online Orientation for new housing students
- After hours emergency call response
- Conduct regular Health & Safety Inspections
- Conduct damage assessments/billing resulting from inspections, room switches, move-outs, closing, etc.
- Liaise with Campus Safety/Special Police
- Conduct fire drills with RA and Security assistance
- Conduct roommate mediation
- Manage room switches
- Create and implement community-building strategies within apartments, within buildings, and across the housing facility
- Monitor residents’ academic progress and provide support/guidance and referrals to campus resources
- Provide recognition to residents who are academically successful
- Provide interventions to residents who are academically at risk.
- Coordinate the end of year celebration, awards.
- Write and distribute electronic newsletters/communications to all residents
- General announcements/operational information
- Specific events/programs for which this position is responsible
- Develop and utilize connections/partnerships among students, campus personnel, and local community
- Develop and implement independent living skills education for all students.
- Other duties as assigned
All Student Affairs Staff Functions
- Collaborate regarding applications, contracts, supplemental contracts, credit hour compliance, and contract renewal process.
- Collaborate regarding Willowbrook Woods policies, processes, and documents.
- Identify resident behaviors/concerns and communicate complex matter to Team to determine course of action.
- Conduct wellbeing checks
- Provide timely and accurate documentation, record-keeping
- Participate in staff meetings as needed.
- Participate in assessment including Comprehensive Unit Review and Unit Goals.
- Participate in college Open Houses and other promotional activities
- Participate in college committee(s).
- Complete mandatory trainings and professional development.
- Other duties as assigned
Education, Experience, and Specialized Skills
Bachelor’s Degree required. One-year professional, relevant experience required. Prior Residence Life experience preferred. Prior experience planning events/programs preferred. Prior experience in conflict resolution preferred. Experience and/or training in Mental Health First Aid® or similar program is required – at application or within 60 days of hire. Valid drivers’ license required.
