JCU Student Scholarship and Loans Officer Role Opens in Townsville

What the role covers and why it matters

JCU job opportunities on Academic Jobs Australia

Most students don't miss a scholarship because they're unqualified. They miss it because nobody sat down with them and explained what the paperwork actually required. James Cook University is hiring a Student Scholarship and Loans Officer in Townsville, Queensland, to sit in that exact gap.

The title sounds narrow. It isn't. You'd sit where tuition fees, government HELP loans, university bursaries, and a student's bank balance meet. If that sounds like a back-office finance role, you're reading it wrong.

Yes, the job involves process, eligibility checks, and audit-ready records. But the reason JCU needs a human in this seat is that students make expensive decisions on the basis of confusing and incomplete information. Better advice means fewer avoidable dropouts and fewer unpaid fees.

What the role actually covers day to day

You won't write lending policy. You'll apply it.

  • Assess scholarship applications against eligibility criteria, academic conditions, and published deadlines.
  • Process student loan requests, including checking enrolment, course load, and prior borrowing where relevant.
  • Answer questions about HECS-HELP, census dates, fee statements, and the Student Services and Amenities Fee.
  • Maintain records that stand up to university audit requirements.
  • Work with faculties, finance, and student services when an application needs more evidence or an appeal has to be considered.

A lot of the work is correspondence. You will tell a student why an application was declined, what evidence is missing, or whether a late submission can be considered. The best people in this role write plainly. They don't copy-paste policy into emails.

You will also become fluent in the university's student management system. That means data entry, yes. It also means knowing where a payment sits in the workflow so you can answer a student accurately instead of asking them to call someone else.

Scholarships and loans are different jobs inside one title

A scholarship is money a student does not have to repay, provided they meet the conditions. A loan is money they do have to repay, usually through a schedule or through the federal HELP system. This role sits across both.

Scholarship administration means reading applications, verifying academic results, checking financial hardship evidence, and recommending awards. It means tracking conditions such as full-time enrolment or a minimum GPA, and pausing or adjusting payments when a condition fails.

Loan administration means something different in an Australian university. Many student loans are not personal loans in the banking sense. HELP loans are income-contingent and collected through the tax system once a graduate earns above the repayment threshold. You answer questions about those loans, but you don't underwrite them the way a bank would.

Some universities also run small emergency loan or book loan schemes for students in short-term financial difficulty. Where those exist, the officer usually handles the paperwork: eligibility, amount, repayment terms, and follow-up.

Why the role matters more than the title suggests

Australian university funding doesn't end at the application form. Domestic students in Commonwealth supported places can defer tuition through HECS-HELP, part of the federal government's Higher Education Loan Program (HELP). The authoritative source is the government's Study Assist website. Students call with questions they should have been shown earlier: what follows the census date, when a HELP debt gets indexed, what happens if they withdraw after the deadline. The census date is the last day a student can withdraw from a subject without a financial penalty or a fail grade.

Scholarships sit alongside that system. JCU runs awards for high-achieving school leavers, Indigenous students, rural and remote students, and people facing genuine financial hardship. The full list is on the university's scholarships page. A Student Scholarship and Loans Officer is often the first person who can tell an applicant which awards they actually qualify for.

That information changes outcomes. A student who misses one scholarship may drop to part-time study. A student who misunderstands their HELP balance may carry debt they didn't plan for. The role exists because those consequences are avoidable.

Who should apply

You don't need to be a qualified accountant. You need to be accurate, quick with a student management system, and comfortable explaining fee and loan rules to people under pressure.

People who do well in this kind of role usually come from one of several backgrounds.

  • Student services and scholarships administration at another university or TAFE.
  • Finance assistant or loans administration in banking, credit unions, or community organisations.
  • University fees teams, admissions, or enrolment support.
  • Recent graduates with experience in a university student centre and a working knowledge of HELP rules.

Read the full position description on JCU's careers portal before you apply. The selection criteria are the scoring grid. Address them one by one.

How to apply without getting lost in the portal

Use this sequence.

  1. Open the official advertisement on JCU's careers portal and keep it beside you while you write.
  2. Open the Student Scholarship and Loans Officer listing on AcademicJobs for a plain-language summary and a direct link back to the application.
  3. Draft your cover letter against each selection criterion, not around a generic pitch.
  4. Submit before the advertised closing date. Late applications rarely get considered in university hiring.

Your cover letter should open with one paragraph that names the role, the campus, and the two strongest pieces of evidence you have. Don't write a generic statement about loving higher education. Write about the time you found an error in a student's loan file, or the week you cleared a scholarship backlog before the deadline.

If you need a CV refresh, the advice in how to write a winning academic CV still applies here. Keep it clean, specific, and easy for a panel to scan.

What to expect after you submit

University hiring moves slowly. Three weeks of silence doesn't mean you're out. Committees convene, HR screens, and reference checks run. If you're asked to interview, expect direct questions about accuracy, confidentiality, and how you handle a student who disagrees with a decision. Prepare specifics, not adjectives.

Townsville is a regional city on the Queensland coast. JCU's main Townsville campus is Bebegu Yumba at Douglas. If you're applying from outside North Queensland, the interview will probably include a question about why you're willing to live there. Have a real answer.

This week's action is simple. Pull up the position description, copy the selection criteria into a blank document, and write one evidence sentence under each. Do that before you touch the application form. The candidates who get shortlisted are the ones who made the committee's job easy.

Frequently Asked Questions

🎓What does a Student Scholarship and Loans Officer do at JCU?

The role administers scholarships, bursaries, and student loan programs at James Cook University in Townsville. You assess applications, check eligibility before payment, answer student enquiries about fees and HELP loans, and keep records that meet university audit standards. The exact duties are set out in the official position description.

📍Where is the job based?

The role is based at JCU's Townsville campus, specifically Bebegu Yumba at Douglas. You may occasionally work with colleagues across other campuses, but the advertised location is Townsville, Queensland.

💼Is this a finance role or a student services role?

It is both, with a stronger weighting toward student services. You handle sensitive financial information and apply loan rules, but the job is built around student contact. The best candidates are accurate with numbers and clear with people.

📋What qualifications do you need?

The qualification requirements appear in the advertisement. Universities often look for a relevant certificate, diploma, or degree in business, finance, community services, or a related field, but comparable experience is frequently accepted. Always check the selection criteria before applying.

💰How do JCU scholarships differ from HELP loans?

Scholarships are typically non-repayable awards granted on merit, need, or equity grounds. HELP loans are income-contingent government loans, such as HECS-HELP, that students repay through the tax system once they earn above the repayment threshold. The authoritative guide is the government's Study Assist site.

🧾Do you need experience with Australian higher education fee systems?

It helps. Experience with HECS-HELP, census dates, Commonwealth supported places, or university student systems will make your application competitive. If you come from banking or community loans, explain how your transferable skills map to the selection criteria.

📝What should you include in your application?

Address every selection criterion with a specific example. Include a cover letter that names the role, the Townsville location, and your two strongest pieces of evidence. Keep the CV clean and readable. The position description is the control document.

🗂️How does the selection process work at JCU?

Applications are screened against the selection criteria, then shortlisted candidates are usually interviewed by a small panel. You may be asked about accuracy, confidentiality, and a time you resolved a difficult student enquiry. Reference checks follow the interview for preferred candidates.

💵What is the likely salary for this position?

The salary level will be stated in the advertisement. JCU staff are paid under the university's enterprise agreement, which sets classification bands and conditions. Compare the advertised classification with the current JCU enterprise agreement to see where the role sits.

✈️Can you apply if you're not currently living in Townsville?

Yes, JCU accepts applications from outside North Queensland. If you are shortlisted, be ready to explain your relocation plan and why you want to work in Townsville. Some interviews are held by video, but the role itself is campus-based.

⏰When does the application close?

The closing date is shown on the official advertisement. University jobs usually close at midnight on the listed date, but you should submit well before the deadline to avoid portal issues. Late applications are generally not accepted.

🔗Where can you find the official job advertisement?

The official advertisement is on JCU's careers portal. You can also read a plain-language summary at the AcademicJobs listing.
