Position Summary:


The Accounts Payable Specialist performs high volumes of data entry for payment requests and journal entries in addition to various other duties. The Accounts Payable Specialist performs various duties under the supervision of the Accounts Payable Supervisor. The work involves recurring situations that are routine in nature with occasional variation from the norm, usually involving accounting tasks including data entry and bookkeeping skills. Position operates alone on routine work, checking with supervisor when in doubt. Responsible for efficient use of time and equipment as well as good student, staff and public relations. Requires good interpersonal and verbal communication skills to exchange information with students, staff and faculty.Duties and Responsibilities: 

  • Inputs and processes a high volume of data for the payment of invoices, reimbursements, journal entries, and advance requests; follows up and requests supporting documents or approvals in a timely manner.
  • Audits invoices for appropriate account coding, mathematical accuracy, and payment authorization.
  • Reviews daily reports of potential fraudulent checks or errors on secure bank website and approves payment of legitimate items.
  • Corrects bank data entry errors and disputes any fraudulent checks. Processes stop payments.
  • Assists those who call, email, or visit in-person with questions or requests
  • Prepares miscellaneous General Ledger account reconciliations, updates vendor information and assists with vendor set-up and maintenance.
  • Reconciles General Ledger Advance account on a regular basis.
  • Assists with 1099-MISC processing and reporting.
  • Cross trains and serves as a backup for the Accounting office staff.
  • Safeguards confidentiality.
  • Works on special projects and assumes additional responsibilities as assigned.

Minimum Qualifications:

  • High school diploma or equivalency
  • Minimum of one year of experience in a professional office with focus accounting, reporting, and/or customer service.
  • Strong written and oral communication, interpersonal and customer service skills.
  • Quick and accurate typing and 10-key skills.
  • Strong proficiency with technology including Microsoft Excel and Adobe Acrobat. Ability to thrive in a paperless environment.
  • Knowledge of general accounting procedures.
  • Strong attention to detail.
  • Strong analytical and problem-solving skills.
  • Strong organizational skills and have the ability to meet deadlines and balance competing priorities.
  • Excellent record keeping and digital file maintenance skills.
  • Ability to work independently as well as to establish and maintain harmonious relations with staff, faculty, and students.

Preferred Qualifications:

  • Two years of college with course work in business, accounting or finance or equivalent education/training.
  • Certification demonstrating competence in Microsoft Excel and Adobe Acrobat.
  • Experience in accounts payable processing.
  • Experience working in higher education.

Typical work schedule:

Monday - Friday, 8am to 5pm

Salary: $20.00/ hour to $24.04/ hour
