Temporary AHA Training Center Scheduling Coordinator

GENERAL JOB SUMMARY

Under limited supervision, The AHA Training Center Scheduling Coordinator is responsible for managing the scheduling and coordination of American Heart Association (AHA) training courses, including Basic Life Support (BLS), Advanced Cardiovascular Life Support (ACLS), and Pediatric Advanced Life Support (PALS). This role ensures that courses are scheduled in compliance with AHA guidelines, instructor availability, student demand, and training center standards. The coordinator acts as a key liaison between instructors, students, internal departments, and external partners to ensure a seamless training experience. The typical work schedule will be Monday through Friday from 8 am to 5 pm.

DUTIES/RESPONSIBILITIES

  • Coordinate and manage request for training and maintain a master schedule for all AHA training courses.
  • Assign instructors to courses based on availability, credentials, and training center needs.
  • Communicate professionally and effectively via email with both internal and external customers.
  • Monitor and manage course rosters, including cancellations, reschedules, and waitlists.
  • Provide timely communication regarding course logistics, updates, and confirmations to both instructors and students.
  • Collaborate with facilities and support staff to ensure classroom space, equipment, and materials are ready for each course.
  • Ensure timely and accurate course reporting to the AHA, and issue certificates accordingly.
  • Support student registration and provide customer service related to scheduling, course content, and certification status.
  • Assist in onboarding new instructors, including scheduling shadow sessions, orientations, and initial course assignments.
  • Maintain accurate and up-to-date training records in compliance with AHA guidelines and training center policies.
  • Collaborate with the AHA Training Center Coordinator to remain up to date on ATLAS, AHA training programs, policies, and procedural updates.
  • Perform other related duties as assigned.

PHYSICAL ACTIVITIES WITH/WITHOUT REASONABLE ACCOMMODATION

Position involves working in an office setting. Occasional (10-33%) standing, pushing, pulling and grasping. Frequent (34-66%) reaching and viewing a computer and other types of close visual work. Constant (67-100%) sitting, walking, repetitive motion, talking and hearing.

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent.
  • 2+ years of experience in scheduling, training coordination, or administrative support.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and database management.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask and work in a fast-paced environment with minimal supervision.

LICENSES, CERTIFICATIONS, OR REGISTRATIONS REQUIRED

CPR Instructor Certification (BLS/ACLS/PALS)

PREFERRED QUALIFICATIONS, LICENSES, CERTIFICATIONS, OR REGISTRATIONS

  • Associate degree preferred.
  • Experience working with AHA programs or within a training center.
  • Familiarity with AHA's Training Center Portal (Atlas) and eCard system.
  • Knowledge of CPR/first aid course structure and content.
