The Transportation Service Advisor/ Liaison is responsible for assisting the Transportation Department with daily operational needs to include but not limited to: Shop Scheduling, Customer Service, Vendor Coordination, Record Keeping, University Asset Enrollment, Inspect Motor Pool Vehicles, and to do other work as required. The Service Advisor is to produce work that meets the high standards of the Transportation Department and to assist in accomplishing the mission of Liberty University.
Essential Functions and Responsibilities
- As Essential Personnel you are expected to be available in the event of school closings, delays, shutdowns and any emergencies including clean up required because of severe weather incidents. Transportation personnel are essential to the overall success of Commencement (May) and Orientation and Move-in (August) weekend events and special events that are scheduled in facilities throughout the year and must be available to work scheduled and unscheduled hours as emergency needs arise.
- Reports to work at the required time and performs duties as assigned by the Director of Transportation Fleet and/or the Sr. VP of Facilities Management.
- Assist in managing the maintenance, scheduling and recording fleet inspections, and service information of University Assets. Assets are to include but not limited to: UTVs, cars, trucks, vans, heavy equipment, mowers, trailers, ATVs, lifts, etc. that exist or may at any time, be added to the University’s fleet.).
- C oordinate the review and approval of vehicle and equipment maintenance and repairs for external vendors as per established standards and guidelines.
- Assist with the creation and closure of work orders through the departmental approved process.
- Assist in verifying information in the Fleet Inventory Management System is correct.
- Assist in maintaining of record keeping standards for all University fleet enrolled assets.
- Coordinate with external vendors regarding maintenance, repair, and priority of University assets.
- Assist in enrollment for Assets purchased.
- Acquire quotes for all purchases under the responsibility of Transportation.
- Assist with Key enrollment into departmental approved storage.
- Assist in Post and Pre inspections all Motor Pool Requested vehicles as needed.
- Issue equipment and or Keys as needed on behalf of the Motor Pool Department.
- Review and schedule recall notices as needed in a timely fashion.
- Review and schedule warranty issues as needed in a timely fashion.
- Maintains customer rapport by explaining estimates and expected return of vehicle/equipment; obtaining customer's approval of estimates; obtaining and providing contact telephone numbers; answering questions and concerns; arranging towing as necessary.
- Shall enhance organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments and the department.
- Relies on experience and judgement to plan and accomplish goals.
- Performs other duties as assigned.
- Must provide own hand tools to perform and complete trade related tasks.
- Remains abreast of existing and emerging technologies, processes, products, services and leading industry performance benchmarks.
- Works effectively as a team member, embracing and fostering LU’s mission.
Qualifications, Credentials, and Competencies
A high school diploma and proficiency in Microsoft Office suite required. 3 years' job experience in customer service preferred. Certifications obtained while employed by Liberty University at the expense of the employer will be reimbursed back to the University upon voluntary termination (resignation) for the first 12 months after acquiring it. Effective communication both verbally and in writing. Ability to intuitively reason, analyze information and events, and apply judgment in order to solve problems of both a routine and complex nature.
Regularly required to lift 20 pounds or fewer. The working environment in which one will typically perform the essential functions of this position is a shop setting or outdoors setting and defined by the weather. It involves some exposure to potentially dangerous materials and situations that required following extensive safety precautions and may include the use of protective equipment. Work involves almost constant exposure to unusual elements, such as extreme temperatures, toxic chemical, biohazardous materials, dirt, dust fumes, smoke, and/ or loud noises. Proof of a valid Virginia driver’s license, an acceptable DMV record, and liability insurance is required, must be able to pass all requirements to be on Liberty University insurance.
