Position Summary

This position is responsible for providing administrative and program support to the TRIO Upward Bound Summer Program.

MAJOR DUTIES

  • Assist in the daily coordination and delivery of the Summer Academy schedule, including workshops, classes, and enrichment activities.
  • Support instructors and staff during academic sessions in Math, Science, and Language Arts.
  • Support RA's with gathering materials for their activities and other programing needs (college tours, field trips, travel arrangements)
  • Drives students to and from Bloomfield High School using college vehicle.
  • Monitor student attendance, punctuality, and engagement, supporting students' skill development and participation.
  • Assist with program setup, materials preparation, and classroom organization.
  • Support check-in/check-out processes for commuting and residential students.
  • Help maintain accurate records of student participation and activities.
  • Work collaboratively with TRIO staff, instructors, and campus partners and communicates effectively with students, families, and team members.
  • Maintain social media with weekly updates and a recap of activities.
  • Support program-wide initiatives and contribute to a positive team culture.
  • Maintains office supply inventory; makes purchases as needed.
  • Performs related duties.

KNOWLEDGE REQUIRED BY THE POSITION

  • Knowledge of modern office practices and procedures.
  • Knowledge of college and program policies and procedures.
  • Knowledge of computers and job-related software programs.
  • Skill in prioritizing and organizing work.
  • Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
  • Skill in oral and written communication.

SUPERVISORY CONTROLS

The Upward Bound Director assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES

Guidelines include college and program policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.

COMPLEXITY/SCOPE OF WORK

  • The work consists of related administrative and summer program support duties. Frequent interruptions as well as the varying needs of the students and staff contribute to the complexity of the position.
  • The purpose of this position is to provide administrative support for the Upward Bound program. Successful performance contributes to the efficiency and effectiveness of program operations.

  • Contacts are typically with co-workers, other college employees, students, parents, and the general public.
  • Contacts are typically to give or exchange information, resolve problems, and provide services.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

  • The work is typically performed while intermittently sitting, standing, or stooping. The employee occasionally lifts light objects.
  • The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

None.

MINIMUM QUALIFICATIONS

  • Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/ internship or having had a similar position for one to two years.
  • Valid drivers license required as well as ability to become a SJC approved driver.
