Indiana Tech is looking for a passionate, organized, and student‑focused professional to help deliver an exceptional campus experience for every visitor. The Visit Experience Coordinator plays a key part in creating memorable interactions that reflect our commitment to service, engagement, and student success. The primary purpose of this position is to ensure a positive first impression of Indiana Tech either by phone conversations or through the greeting and planning of our campus visits, along with other administrative duties. The Visit Experience Coordinator will be housed within our state-of-the-art Welcome Center. This position is responsible for greeting campus guests and setting the stage for prospective students and families who are visiting campus. In doing so, the Visit Experience Coordinator will manage all individual visits by planning their experience from start to finish, which can involve faculty, athletics, and admissions appointments. The visits cover a wide range of formats such as individual visits, our virtual visits and group visits by high schools and other organizations. Continuous evolvement of our visit experience is highly encouraged, with involvement from the Manager of Events and Visit Experience and the Executive Director of Admissions.
Essential Duties & Responsibilities
- Be the face of Indiana Tech by greeting and directing all campus visitors with an enthusiastic and positive attitude.
- Organize and manage all daily visits for prospective students.
- Work with athletic coaches to organize meetings for prospective students.
- Work with faculty to organize academic meetings and classroom observations.
- Assist in the hiring, management and supervision of Tour Guides.
- Schedule and assign tour guides to meet the needs of campus visitors.
- Continually provide development and growth opportunities for student tour guides.
- Research, plan, and implement all new visit opportunities.
- Use, update, and create visits/events within Slate CRM.
- Manage meeting areas for campus visitors within the Welcome Center.
- Manage the Welcome Center waiting area to ensure it is presentable in a positive way for campus visitors.
- Manage and maintain the campus visitor refreshment station to ensure it is always stocked and clean.
- Manage Welcome Center video wall to display content for guests.
- Maintain materials, handouts, etc. for visitors.
- Keep accurate data/records of visitors in our Slate CRM.
- Work with other areas of campus (academics, student life, residential life, athletics) to schedule facility use for visit planning and events.
- Manage virtual options, such as “live” virtual tours and virtual faculty appointments.
- Work in collaboration with the Manager of Events and Visit Experience with on-campus recruitment events and other activities to provide a positive experience required to recruit students.
- Actively participate in generating ideas to increase enrollment of new students.
- Manage department supplies and equipment as needed.
- Preparing purchase requisitions, processing invoices assigned by the Executive Director of Admissions.
- Manage departmental supplies for the Office of Admissions.
- Assist in managing the university switchboard by answering incoming phone calls and directing them to the proper area in a timely and courteous manner and providing general information about Indiana Tech to incoming callers.
- Support the vision and policies of Indiana Tech.
- Participate in the campus community.
- Adhere to all state, federal, and company policies regarding student recruitment.

- Conduct work activities in accordance with state and federal accreditation and University policies and regulations, consistent with the highest ethical standards.

Experience
- At least 2-3 years of event/hospitality experience preferred
Working Conditions
- Work is normally performed in a typical interior/office work environment and various campus locations. Evening and weekend hours are required for campus events and various activities
