In particular, the Academic Advising Manager supports Online Accelerated Masters and Dual Degree online students, overseeing their progress from acceptance through graduation. Reporting to the Associate Director of Academic Advising, and in collaboration with the Director of Student Experience, the Academic Advising Manager will lead or contribute to department-level advising projects and initiatives that support student success, retention, and timely degree completion.

Penn Engineering Online is seeking a passionate higher education professional with experience in both project management and graduate-level academic advising for non-traditional, mid-career professional, or adult learners. In particular, the Academic Advising Manager supports Online Accelerated Masters and Dual Degree online students, overseeing their progress from acceptance through graduation. Reporting to the Associate Director of Academic Advising and in collaboration with the Director of Student Success, the Academic Advising Manager will lead or contribute to department-level advising projects and initiatives that support student success, retention, and timely degree completion. This includes managing complex workflows, overseeing sensitive student data processes, and supporting admissions pathways for specialized programs. The Academic Advisor is responsible for fostering student success and retention by advising students through multiple communication platforms, tracking student progress, and serving as a trusted collaborator for the course and admissions teams. They are also responsible for upholding program and university policies and helping students understand how these policies directly affect their academic experience. Additionally, the Academic Advising Manager supports the Community Engagement Manager with engagement initiatives such as virtual and in-person events. The Academic Advising Manager will join a collaborative team that is continually innovating and streamlining processes in a positive and dynamic work environment.
Job Responsibilities
- Conduct day-to-day communication with advisees via email, phone, texting, office hours, and video-conferencing in a warm and professional manner ensuring that all correspondence is addressed within 24 hours of receipt. Advise students on curriculum, program policies, course planning, time management, etc. Connect students to University resources as needed. Host weekend and evening advising sessions each month (weekday hours will be adjusted to accommodate). Regularly advise students who are on Academic Warning or Probation and on-radar students.
- Project Management: Support Online Accelerated Masters admissions. Oversee admissions for online Dual Degree programs. Manage sensitive student data projects, including Academic Probation and Incomplete Grades. Oversee major transfer processes, including Change of Degree requests within Online programs and case-by-case on-campus to online requests. Coordinate official letter requests and delegation to the advising team
- Track and maintain student records by recording advising notes, processing course-level petitions and student requests, performing degree audits, reviewing prerequisite errors.
- Create and maintain program information for students. Support new student onboarding by assisting with initial account set-up, hosting information sessions, communicating important dates and deadlines, etc. In collaboration with the Community Engagement Manager, maintain online resources for students such as the onboarding course, graduation course, and supplemental resources. Support and promote community engagement with various efforts including but not limited to: coordinating online seminars supporting in-person meet-ups and annual events such as Homecoming and Commencement.
- Cross-train as an integral member of the Penn Engineering Online Student Success team. Other duties as assigned.
Qualifications
- Bachelor's degree and 2 - 3 years of related higher education experience, or an equivalent combination of education and experience.
- Excellent written and verbal communication skills
- Ability to work independently and as a team member
- Strong customer service skills and attention to detail.

Hybrid Schedule: 2 days in office, 3 days work from home
Evening and weekend work is required.
