About the Department:

Film and Video Studies offers coursework leading to a BA in Film and Video, with optional pathways in directing, producing, cinematography, editing, sound, and screenwriting. The unit also coordinates public film screenings, student showcases, and visiting filmmaker and artist series. It supports a cohesive faculty and staff team dedicated to delivering high quality academic and creative programming.

About the Position:

The Academic Advisor & Admissions Coordinator serves as the program’s primary point of contact for current and prospective students. The position provides comprehensive academic advising, admissions support, recruitment outreach, and communication across all stages of the student lifecycle. The coordinator contributes to curriculum processes and supports the program’s commitment to anti‑racism, inclusive excellence, and equitable student success.

Responsibilities:

Academic Advising & Student Support

  • Advises students in the Film and Video Studies BA, and future programs on degree requirements, academic progress, registration, and graduation;
  • Maintains advising files, student records, and enrollment tracking systems;
  • Provides consistent availability for student inquiries and ensure confidentiality in accordance with FERPA;
  • Develops and delivers orientations for incoming students; prepare materials and assist with welcome events;
  • Connects students with academic support resources and co‑curricular opportunities;
  • Creates online advising materials, workshops, and student‑facing resources;
  • Manages student listservs, distribute program announcements, and contribute content to newsletters; and
  • Coordinates student access to Film facilities with the Program Manager.

Admissions Management

  • Manages prospective student applications and guide applicants through the portfolio review process;
  • Coordinates with CVPA Admissions, Mason Admissions, faculty, and the Program Director on admissions workflows;
  • Organizes and facilitates faculty portfolio review processes; and
  • Oversees tuition discount procedures in collaboration with university partners.

Recruitment

  • Develops and implements recruitment strategies with the Program Director and Assistant Director;
  • Represents Film at Mason during high school visits, recruitment events, and campus programs;
  • Welcomes visitors and provides program tours;
  • Creates recruiting presentations and supports program leadership in delivering them;
  • Collaborates on social media strategy for recruitment purposes; and
  • Supervises student ambassadors supporting tours, recruitment, and outreach.

Course Planning & Enrollment Management

  • Collaborates with the Program Director and faculty to plan course offerings and build semester schedules;
  • Reviews enrollment trends and makes recommendations regarding course needs;
  • Tracks and analyzes enrollment data for program reporting and budget preparation; and
  • Supports efforts to maintain or increase course enrollments.

Curriculum Support

  • Administers Curriculum Committee agendas, meetings, and follow‑up tasks;
  • Oversees and updates catalog information in alignment with university schedules;
  • Coordinates curriculum changes, including transitions between curricular versions; and
  • Manages course equivalency approvals.

Required Qualifications

  • Bachelor's degree in related field or the equivalent combination of education and experience;
  • Mid‑level administrative experience, including experience in an academic environment;
  • Ability to advise, mentor, and work with students, including working with confidential information such as student records;
  • Ability to work independently without direct supervision, and develop and carry out details of a project once overall parameters have been established;
  • Ability to build and maintain relationships inside and outside the university on the program’s behalf; and
  • All typical skills necessary for operating in an office environment, including but not limited to communicating with students, families, faculty, and staff; typing; answering phones and emails; maintaining databases; and using document templates.

Preferred Qualifications:

  • Master’s degree or equivalent professional experience in advising, admissions, student services, or higher education administration;
  • Fundamentals of Advising at Mason (FOAM);
  • Background in the arts;
  • Familiarity with Banner, Patriot Web, Patriot Connect, Stellic and university policies and procedures;
  • Knowledgeable in recruitment practices and evidence of successful outcomes;
  • Knowledge of local, regional, and national high schools and college fairs; and
  • Demonstrated ability working with a diverse population of artists, students, faculty, staff, and community members.
