Required Qualifications:
- Experience in a professional role in which it was necessary to communicate with various stakeholders, demonstrating strong interpersonal, oral and written communication skills.
- Working knowledge, and extensive use in a professional role with Microsoft Office Suite - including Outlook, Word, Share Point and especially Excel.
- High school diploma or GED, plus at least 5 years of experience in a professional office setting performing administrative and financial duties.
- Current TXST employee
Preferred Qualifications:
- Bachelor’s degree or higher
- At least three years of budget management experience in a professional setting, utilizing financial software for transactions and reporting.
- Experience using SAP for financial and/or HR tasks.
- Experience with using PeopleAdmin and Hire Right for hiring of personnel.
- Working knowledge of post-award grant management.
- Highly organized and efficient, with extensive use of online file storage and data sharing in a workplace setting.
- Understanding of public university policies and procedures.
Job Description:
This position coordinates all budget-related matters, including verifying compliance with funding sources, managing personnel and grant-related, budget changes and appointments. The position supports post-award compliance and reporting, tracks expenditures, and provides monthly budget reports for all research PIs. Additionally, this position works with the department chair on budget planning, provides budget consultation to faculty, and conducts expenditure analysis.
Job Duties:
- Responsible for coordinating all budget-related matters, including verifying compliance with funding sources and managing personnel budget changes and appointments.
- Use SAP to monitor and reconcile departmental, grant, and contract accounts.
- Provide budget consultation and planning for department, grant, and contract accounts including entering and tracking temporary and summer budget requests to AA Budgets.
- Prepare PCRs for grant and contract funded hires and faculty summer salary including completion of and verification of I-9 forms for new employees and manages personnel items in HireRight.
- Manage FTE changes and funding allocations for faculty, students, and staff for all grants, contracts, and faculty summer salary.
- Consult with faculty and the department chair to provide recommendations on budget and financial questions, decisions, risks, practices, rules, and processes.
- Research, request quotes, and prepare purchase orders.
- Validate invoices for purchase orders and Goods Receipts, research discrepancies, and reconcile Goods Receipts to items received on purchase orders.
- Contact vendors about damaged, lost/late, or return orders.
- Manages faculty and student travel request and expense reports.
- Manage vehicle reservations in conjunction with conferences, travel, and class field trips.
- Assist with departmental event planning and implementation.
- Perform other duties as assigned.
