Academic Coordinator I or II - Institute for Health Policy Studies
The Academic Coordinator will provide high-level project management, administrative, research, and programmatic leadership for two large, multi-site research studies, including an NIH R01 and a California state-funded project. The candidate will independently manage complex research operations, oversee data and financial infrastructures, coordinate subcontract sites, and serve as a primary liaison with community partners, vendors, and funders.
Responsibilities:
- Lead development and revision of IRB protocols and materials across UCSF and subcontract sites.
- Develop and maintain recruitment materials (scripts, flyers, voicemails, study one pagers).
- Develop meeting agendas and prepare meeting summaries.
- Oversee study-wide emails and scheduling.
- Oversee participant recruitment, reimbursement, and tracking systems.
- Oversee transcription/translation workflows.
- Maintain data collection tracking systems and documentation and monitor data progress.
- Oversee REDCap database, Box systems, and research data infrastructure.
- Develop abstracts, conference presentations, and manuscript proposals.
- Coordinate Community Advisory Board activities and community presentations.
- Manage subcontract sites, vendor relationships, budgets, and financial reporting.
- Prepare annual progress reports.
- Plan and lead annual research retreats.
- Support the development of literature reviews, manuscripts, and study deliverables, including policy memos, toolkits, and presentations.
Required Qualifications:
- Master's degree in public health, social sciences, health services research, or related field.
- Minimum 3-5 years of progressively responsible experience in research program coordination or academic program administration.
- Demonstrated experience managing complex research projects with multiple stakeholders.
- Experience with qualitative research methods, including coding and codebook development.
- Experience with IRB submission and human subjects research processes.
- Experience with REDCap or similar data management systems.
- Experience with Asana or similar project management tool.
- Demonstrated financial and budget management experience.
- Strong organizational, analytical, and communication skills.
Preferred Qualifications:
- Experience managing NIH-funded research.
- Experience with subcontract management across institutions.
- Experience conducting qualitative interviews.
- Experience with community-engaged research and Community Advisory Boards
- Fluency in Spanish.
- Experience supervising or mentoring research staff or trainees.
- Strong qualitative research expertise would be a significant strength.
See Table 36 Level I and Table 36 Level II for the salary range for this position. A reasonable estimate for this position is $64,228 - $164,103.
