GENERAL STATEMENT OF DUTIES:

Under the supervision of the Scholarly Resources Acquisitions and Management Librarian, the Acquisitions and E-resources Library Assistant (officially classified as Library Assistant II) performs the processes for ordering and receiving library materials in various formats; handles claims, resolves issues regarding orders; maintains department files; assists with e-resources management and projects; and participates in other functions as a member of the Library staff.

SUPERVISION RECEIVED:

Works under the general supervision and review of the Scholarly Resources Acquisitions and Management Librarian.

EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Orders and receives books and other library materials. Ensures that there are no discrepancies in the order or with the invoice.
  • Maintains vendor records regarding orders, purchase orders, quotes, invoices, and payments
  • Handles and resolves claims and errors with vendors
  • Maintains communication with vendors, publishers, faculty, and staff
  • Maintains donation/gift acknowledgments in coordination with the Acquisitions Librarian
  • Coordinates McNaughton Rental Collection activities (placing orders, processing, preparing for returns and keeping shelves in order)
  • Prepares monthly reports
  • Maintains and updates acquisitions budget
  • Assists the Digital and E-Resources department in developing methods for recording, analyzing, and presenting usage and access information
  • Collaborates with the Acquisitions and Digital and E-Resources departments in database assessment and analysis
  • Assists with e-resource assessment and usage information analysis
  • Assists with other duties as assigned by supervisor

Job Requirements:

MINIMUM QUALIFICATIONS:

Applicants must have at least (A) one year of full-time, or equivalent part-time paraprofessional or clerical experience as a library assistant, or (B) any combination of the required experience and the substitution below.

Substitutions:

An Associate's degree or higher may be substituted for the required experience. *

*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

PREFERRED QUALIFICATIONS:

  • Ability to pay attention to detail
  • Proven ability to work independently
  • Ability to follow-through and resolve problems/issues to completion
  • Excellent knowledge of Excel and other Microsoft Office products
  • Ability to understand and apply Library and university procedures and guidelines governing the purchase of library materials
  • Ability to prepare general reports
  • Strong communication skills

Additional Information:

This is a full-time, non-exempt, benefits-eligible position in the American Federation of State, County, and Municipal Employees (AFSCME) bargaining unit with a union title of Library Assistant II. The bi-weekly pay rate is $1,835.65 (grade 12, step 1). This is an annual base salary of approximately $47,726.90.
