Administrative Assistant 3
Job Summary
The Administrative Assistant 3 provides executive level administrative support to the Dean of the College of Nursing and the Dean's Office, serves as the first point of contact, responds to a wide variety of situations in a timely manner, and represents the office in the highest professional manner. Assists in implementing initiatives to advance the mission, vision, and goals of Augusta University and the College of Nursing. Maintains P-Card for the department.
Responsibilities
The responsibilities include, but are not limited to:
Meetings and Events:
- Acts as the primary point of contact for all meetings and events involving the Dean. Assists in coordinating initiatives, projects, and special assignments for the Deans Office. Maintains and manages the College of Nursing calendar, ensuring accurate and efficient scheduling of appointments. Manages room reservations, coordinates meeting and event logistics for the College of Nursing. Purchases and transports items that are required for Deans Office luncheons, meetings, and events.
Travel Arrangements:
- Coordinates travel arrangements for the Dean by preparing and reviewing travel authorizations and expense reports, completing registrations, and arranging airline, lodging, and rental car reservations as needed. Responsible for ensuring all travel activities comply with applicable state and institutional policies. Tracks reimbursements, maintains receipt logs, and preserves detailed travel documentation in accordance with internal audit requirements.
Telephones and Mail:
- Coordinates and triages incoming telephone calls by providing appropriate information or directing callers to correct source when needed; ensures messages are routed accurately and promptly. Serves as primary point of contact for office visitors and manages the review and distribution of incoming mail.
P-Card:
- Manages and tracks purchase requests, check requests, and IDRs; maintains the department's P- Card; and orders and maintains inventory of office supplies.
Other
- Perform other duties as assigned.
Required Qualifications
- Bachelor's degree from an accredited college or university and two years of progressively responsible administrative support experience
- OR
- Associate's degree from an accredited college or university and five years of directly applicable experience
- OR
- High school diploma, GED from a recognized State or Federal accrediting organization and eight years of directly applicable experience.
Preferred Qualifications
- Master's degree from an accredited college or university.
Knowledge, Skills, & Abilities
KNOWLEDGE:
- Proficient in Microsoft Office and other computer software/databases.
SKILLS:
- Excellent interpersonal, verbal, and written communication skills. Excellent customer service orientation.
ABILITIES
- Ability to maintain confidentiality and apply discretion in all communications and actions to insure professionalism at all times.
- Ability to use mature judgement and complete assigned tasks and make decisions based on guidelines, policies, and procedures.
Shift/Salary/Benefits
Shift: Days/M-F
Pay Band: 6
Salary Minimum: $18.85/hour
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
