About the Opportunity
Job Summary
The Administrative Assistant provides critical support to the Study Abroad team in the Global Experience Office (GEO) and serves as the front line for exceptional customer service. The Administrative Assistant is the first point of contact for student communication and is accountable for ensuring consistent, quality responses to the general office phone number, email, and walk-ins. This role manages staffing at the GEO Front Desk and serves as the primary escalation point for all front desk issues.
The Administrative Assistant must have exceptional organizational skills and demonstrate sound judgment in appropriately responding to inquiries and connecting the inquirer with the applicable team member or unit. This role also requires the ability to balance high-volume customer service with regular reporting and database maintenance responsibilities.
Key Responsibilities & Accountabilities
1. General Administrative & Operational Support
- Generate and disseminate Letters of Enrollment and other student support documentation
- Maintain office equipment and order office supplies
- Generate requisition and purchase orders
- Handle email communications, filing, mail sorting, and answering department telephones
2. Front Desk & Customer Service
- Serve as the department's in-office initial and key point of contact for inquiries about programs, policies, and processes
- Acquire and apply knowledge of the department to provide information for routine matters
- Escalate more serious or complex matters to the appropriate team member or unit
3. Data Gathering, Analysis & Reporting
- Gather, organize, and review data from a variety of sources for recordkeeping, reporting, and program management
- Utilize Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook for data management and reporting tasks
4. Event Support
- Assist with the planning of events and coordination of activities needed to hold workshops, conferences, and seminars
5. Special Assignments
- Carry out special assignments by completing activities, monitoring progress, and ensuring work is completed accurately and on time
Minimum Qualifications
- Associate's degree or equivalent required; 1-3 years of relevant experience
- Knowledge of office administration practices and processes
- Basic proficiency with Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
- Ability to plan, organize, and set priorities with strong time management skills
- Attention to detail with strong interpersonal and written communication skills
- Ability to carry out special assignments by completing activities, monitoring progress, and ensuring work is completed accurately and on time
