Job Description
The Administrative Assistant provides high-level administrative and operational support to the Department Chair, 24 full-time faculty, 25-30 part-time faculty, and approximately 500 students in the Business Analytics Department. This role is essential to the department's daily operations and supports its mission of excellence in teaching, research, and student experience.
Key Responsibilities
- Manage daily department operations; establish and implement office procedures and policies
- Serve as liaison between the Chair and university offices (e.g., Student Services, Dean's Office)
- Coordinate onboarding and support for full-time and part-time faculty
- Manage departmental budgets, including tracking expenses, requisitions, travel reports, and PCard reconciliation
- Oversee undergraduate registration (Eagle Apps), including course monitoring, waitlists, overrides, and high-volume student inquiries
- Advise students on degree requirements; approve majors/minors and verify credentials
- Coordinate faculty recruitment, including job postings, applicant tracking, interviews, and campus visits
- Plan and support departmental events, including a 20+ speaker annual series and student awards
- Maintain department website, course catalog, and class schedules
- Liaise with Technology Consultant; coordinate faculty technology setup and equipment needs
- Supervise work-study students and manage RA/TA requests each semester
- Support faculty with travel, research, teaching, and administrative needs
- Assist with faculty merit review processes and departmental reporting
- Draft communications and support special projects as assigned
Requirements
Qualifications
- Bachelor's degree preferred
- 3-5 years of administrative experience, preferably in higher education
- Strong organizational, multitasking, and problem-solving skills
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office (especially Excel) and Google Workspace
- Experience with Canvas or similar systems preferred
