Massasoit Community College's integrated one-stop student services in the areas of admission, billing and payment, financial aid, registration, student records and general enrollment-based advising. Located in the Canton Enrollment Center, the Administrative Assistant for Admissions provides comprehensive front-line and administrative support. As the primary point of contact for prospective, current, and former students, families, and the public, this role ensures a welcoming environment while delivering accurate information, enrollment guidance, and operational support. The position requires strong customer service skills, attention to detail, and ability to multi-task and manage confidential information in compliance with federal, state, and institutional policies.
Essential Functions:
- Provide front desk coverage by warmly greeting students and visitors, offering directions, and explaining Enrollment Center services while maintaining a professional demeanor.
- Serve as the primary point of contact through positive, helpful, and efficient interactions in person, by phone, and via electronic correspondence.
- Clearly articulate admissions requirements, deadlines, application status via Banner/Slate, eligibility requirements, policies and next steps to enroll in an easy-to-understand manner.
- Assist campus tours and direct visitors to appropriate departments and offices. Provide accurate information about campus resources, services, and activities.
- Assist students with logging into service queues, applying to the college, applying for aid, navigating the institutional website and MyMassasoit portal, and registering for New Student Orientation.
- Schedule appointments, information sessions, orientation, open house, testing, and campus tours; notify students and staff of cancellations and event status.
- Provide clerical support including filing, database maintenance, data entry, and operation of office equipment (computer, printer, copier, fax, and multi-line phone system).
- Serve as the primary liaison for Admissions office supply requests; monitor inventory and create purchase orders for the Enrollment Center.
- Assist in coordination of enrollment events by providing logistical support, including ordering materials, creating packets, tracking RSVP's, facilitating event reminders and managing check-in processes (Slate, Bookings, Google Forms, Outlook), and supporting event setup.
- Enter and maintain applicant and recruitment data in Banner and Slate systems.
- Enter immunization records in Banner.
- Maintain the receipt of documents via email, mail and electronic upload to shared drive.
- Document interactions and transactions; receive and review documents for completeness and update receipt status in Banner/Slate.
- Create and distribute student IDs; monitor supplies and maintain the student ID system.
- Manage incoming and outgoing mail, including but not limited to generating letters, ensuring timely distribution and organization.
- Monitor and secure the office during opening and closing by following established security procedures: lock/unlock entry points, verify and log daily status of computers and payment devices (including card readers) for PCI compliance and ensure confidential documents are secured in the designated safe/storage area.
- Address concerns and complaints respectfully; escalate complex issues to the Associate Director, Director, or appropriate departments as needed.
- Maintain working knowledge of applicable federal and state regulations and institutional policies, including FERPA (Family Educational Rights and Privacy Act). Handle sensitive information and situations with discretion and professionalism.
- Perform special projects and related duties as assigned.
Job Requirements:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Preferred:
- Experience in a fast-paced customer service office environment
- Experience working in a community college
- Proficiency with Microsoft Office, Slate and Banner.
- Meticulous attention to detail with proven ability to manage multiple priorities with competing deadlines
- Strong organizational and communication skills
Additional Information:
Position Status: Full-time, state funded with benefits AFSCME bargaining unit position.
Hours: 37.5 hours per week
Salary: $2,110.33 biweekly/$54,868.58 Grade 15 Step 1
