School of Public Policy The School of Public Policy is a graduate program offering the MPP, PhD, accelerated BA/MPP and dual degrees in Public Policy. The School currently enrolls approximately 130 graduate students. It has 9 full-time tenured/tenure track faculty members and works with faculty in affiliate departments to provide courses in several specializations (e.g., Health, Education, Evaluation and Analytic Methods). The School's alumni include several regional and national leaders in elected positions, federal, state and local government and non-profits.

Position Overview:

The Administrative Assistant II will be responsible for administrative procedures and processes within the School of Public Policy at UMBC. The Administrative Assistant II reports to the Director and together they ensure the smooth functioning of the School of Public Policy providing for the administrative needs of its staff, faculty, students, and alumni which is fundamental to the School of Public Policy’s success and mission.

Responsibilities:

The Administrative Assistant II will be responsible for administrative processes and procedures connected to budgeting, monitoring School of Public Policy accounts (e.g., DRIF, fellowships, faculty start-up, USM Foundation accounts), hiring, travel, purchasing (P-card and Dcard), scheduling and other activities consistent with administrative support. The incumbent serves as the HR liaison to the CAHSS shared services and the foundation account services. The incumbent will hire and supervise student office assistants. They will also be responsible for Graduate Assistant support, including onboarding, health insurance and tuition remission forms, office assignments and computer needs. They will manage the front workroom office and department personnel offices. The incumbent will manage UMBC tagged physical and property inventory. They will coordinate with the Graduate Program Coordinator and External Relations Coordinator as needed. They report to the Director, and together they ensure the smooth functioning of the School of Public Policy.

Required Minimum Qualifications:

  • High school diploma or GED
  • 3 years of experience providing administrative support. Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
  • Experience working with Microsoft Office Suite, Word and Excel spreadsheets managing department finances and budgets.
  • Excellent computer skills.
  • Strong interpersonal and oral and written communication skills.
  • Ability to work in a fast paced environment and work independently as well as collaborate with colleagues.

Preferred Qualifications:

  • BA or MA degree
  • Experience with progressively responsible roles in a combination of administrative, financial, project, and event management.
  • Experience working in a higher education setting.
  • Proficiency with PeopleSoft and Tableau.
  • Demonstrated file and date management skills.

Salary:

Pay Range 9 ($22.41/hr to $29.68/hr) based on the University System of Maryland (USM) Pay Program. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, Memorandum of Understanding, USM Board of Regent policies, internal equity, budget and qualifications and experience. Most salary offers will be close to the minimum part of the range. The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
