Job Description:
The Department of Criminal Justice (CRJU) in the College of Behavioral and Social Sciences invites applications for an Administrative Assistant II contingent position. The incumbent will provide complex administrative support to the supervisor and department. Work requires comprehensive knowledge of the organization or program where assigned, skill in working with issues related to policy, procedures, and confidential matters, and considerable participation in the work of the supervisor. Incumbent exercises, discretion and judgment. In addition, the incumbent is expected to take initiative and meet deadlines.
Responsibilities:
- Manage the day-to-day operations of the department. To include independently handling procedural and substantive matters and inquiries which do not require technical knowledge. In addition, receiving and screening telephone calls and emails, and providing callers and visitors with courteous and competent assistance.
- Duties also include ordering supplies, submitting work orders, scheduling meetings, and assisting faculty.
- Edits, formats, and revises a variety of documents and materials. Proofreads for grammatical, typographical, and basic content errors.
- Convert rough copy and drafts to final version quality reports, presentations, newsletter, and documents.
- Drafts and signs routine correspondence and replies to inquiries which do not require technical program knowledge.
- Develops, implements, and maintains paper and electronic filing systems which meet department needs and satisfy requirements for retention and information security.
- Enters, updates, and retrieves information as needed. Create reports as needed.
- Process contracts, RTFs, declaration and change of major forms, and other documents as necessary.
- Assist the Chair of the Department with committee and/or taskforce work.
- Other duties as requested.
Minimum Qualifications:
Education (include licenses, certifications, etc.):
- High School Diploma or GED
- 2 or more years of college (preferred)
Experience
- A minimum of 3 years of experience providing administrative support. Applicants may be required to complete the institution’s required skills assessment to be considered. Some positions require specific skills such as word processing, spreadsheet, presentation, database, email or calendaring software, and Internet proficiency.
Knowledge, Skills, and Abilities
- General knowledge of and skill in the practical application of generally accepted office practices and procedures.
- Ability to communicate effectively both orally and in writing.
- Ability to understand and follow oral and written instructions.
- Ability to proofread and edit written documents.
- Skill in various computer software packages, such as word processing, spreadsheets, database, presentation programs, Internet, email, Microsoft Teams, Workday, and PeopleSoft.
- Ability to interact effectively with internal and external parties in a courteous and efficient manner.
- Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
- Ability to use campus software such as Workday, PeopleSoft and Learning & Licensure
