Administrative Assistant II
Required Qualifications:
- High school diploma or GED.
- Current CJIS & Background Certificate.
- Ability to interpret, apply, and communicate policies and procedures clearly and accurately.
- Strong written communication skills, including the ability to produce clear, grammatically correct documentation.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook) and use of the internet for research.
- Experience with data entry and the ability to maintain accurate records.
- Ability to organize, maintain, and retrieve information using an established filing system.
- Demonstrated ability to work collaboratively as part of a team.
- Ability to supervise, train, and assign work to student employees.
Preferred Qualifications:
- Experience handling difficult or irate customers in a professional and tactful manner.
- Experience using SAP.
- Administrative experience in a university or higher education setting.
- Knowledge of university policies and procedures.
- Familiarity with traffic and parking regulations.
- Experience using parking management systems and parking enforcement hardware, including License Plate Recognition (LPR) technology.
Job Description:
The Administrative Assistant II provides general administrative and clerical support to management and staff within Parking Services. This position is responsible for maintaining accurate parking permit, citation, and access-control records; supporting system users and administrators; and coordinating with vendors and internal partners to ensure parking management systems and related interfaces function effectively to meet departmental and customer needs.
Job Duties:
- Verify, enter, and maintain parking permit, vehicle, and citation data within the AIMS parking management system; correct discrepancies as needed.
- Maintain accurate records in accordance with university records retention standards.
- Manage and update departmental lists and records, including but not limited to reserved parking spaces, parking suspensions, and boot/impound activity reports.
- Process parking permits, gate cards, citations, and account notices.
- Provide user and administrative console support within parking management systems.
- Monitor and maintain inventory of office and operational supplies, including citation paper.
- Support day‑to‑day administrative operations and assist with special projects as assigned.
- Supervise, train, and assign work to student employees, as needed.
