Administrative Assistant II
JOB SUMMARY
Under direct supervision, provides administrative support to faculty and students in assigned academic programs and departments. This position is responsible for representing the University by communicating with internal and external constituents; planning events; initiating purchases; coordinating travel arrangements; and maintaining departmental records.
ESSENTIAL JOB RESPONSIBILITIES
- Coordinates and performs administrative services; makes arrangements for events and meetings; corresponds with internal and external constituents; distributes mail; makes travel arrangements; screens telephone calls; manages filing systems; maintains department records and assists with preparing administrative reports; may provide work leadership for other office staff; trains and follow-up on the work of others
- Provides administrative support for the day-to-day operations of assigned area(s); prepares purchase requisitions and procurement card purchases; coordinates and monitors maintenance services; submits requests to recruit, hire, pay, and terminate adjunct faculty, graduate assistants, student workers, and volunteers for all departments and programs in the assigned portfolio; serves as liaison between departments, faculty, and staff
- Provides student administrative support, including but not limited to maintaining course schedules and student records
- Answers and returns telephone calls and e-mails regarding questions and concerns of department/programs; communicates and interprets policies and procedures; may develop procedures for assigned area(s); responds to questions resolves issues of moderate complexity.
- Handles confidential issues or sensitive records on a somewhat regular basis using discretion and judgment; may provide work leadership for other office staff; trains and follow-up on the work of others.
- Performs other duties as assigned
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of admission and academic policies and procedures
- Interpersonal/human relations and customer service skills
- Verbal and written communication skills
- Report preparation skills
- Ability to maintain database information
- Ability to operate personal computer with various software programs, including publishing software
- Ability to meet deadlines and give attention to details and accuracy
- Ability to handle multiple tasks simultaneously
- Ability to maintain confidentiality
- Ability to supervise student staff
WORK ENVIRONMENT
This role requires working fully in-person on campus at Saint Louis University.
MINIMUM QUALIFICATIONS
- High school education or the equivalent
- Three to five (3-5) years of relevant work experience
ADDITIONAL INFORMATION
