Required Qualifications:
- Knowledge of university and departmental policies and procedures and applicable state and federal regulations (including FERPA); willingness to learn NCAA and institutional rules related to student‑athlete academic support.
- Proficiency with Microsoft Office Suite and enterprise systems such as SAP, Banner (or similar ERP/SIS), and HR systems such as PeopleAdmin or equivalent.
- Experience supervising and providing guidance to student staff, including training and performance expectations.
- Experience with basic accounting principles and departmental budgeting processes, including monitoring transactions and preparing spreadsheets or reports
- Strong organization, planning, and time‑management skills with demonstrated ability to manage multiple projects and deadlines in a fast‑paced environment.
- Ability to maintain computer lab spaces, including working with ITAC or Information Security to resolve issues and ensure compliance.
- Ability to collect, analyze, and report program data (e.g., tutoring utilization and outcomes) and use data to support decision‑making.
- Ability to work independently with moderate supervision, exercise sound judgment, solve problems, and propose process improvements.
- Availability to work occasional evenings or weekends based on student‑athlete academic support needs, if required by the department.
- Experience working in a higher education environment, with familiarity with university systems and organizational structure.
- Must be a current Texas State employee
Preferred Qualifications:
- Bachelor’s degree
- Two or more years experience with basic accounting principles and departmental budgeting processes, including monitoring transactions and preparing spreadsheets or reports.
- Two or more years experience performing basic troubleshooting of office and lab computers and to complete required information security training and compliance activities.
- Two or more years of experience coordinating tutoring, learning assistance, academic support, or similar student‑success programs in higher education.
- Two or more years of experience using PeopleAdmin (or the institution’s HR system), SAP or similar ERP, and Banner or similar student information system in daily work.
- Two or more years of experience recruiting, training, and supervising student staff, including developing training materials or handbooks.
- Two or more years of experience planning and executing workshops, orientations, or events for students or staff.
Job Description:
The Administrative Assistant III provides administrative and clerical support to program chairs, department chairs, deans, or directors.
Job Duties:
- Organize, prioritize, direct, and explain office work assignments to student workers.
- Keep track of due dates for all assignments and projects.
- Maintain and review staff and personnel files for completeness.
- Arrange travel, applications, and reimbursements for all staff.
- Monitor the operating budget’s transactions and maintain accurate ledgers. Review and process purchase orders and invoices.
- Prepare and manage spreadsheets and tabulate information.
- Compose and proofread a range of documents including correspondence and reports.
- Assist in the preparation of various activities and events.
- Oversee and manage incoming telephone calls, including screening, transferring, and taking messages.
- Greet, screen, and route ofice visitors.
- Monitor the inventory of ofice supplies and order new and replacement supplies as needed.
- Supervise student staff as needed.
- May be asked to provide insight on process improvements and successful outcomes.
- May make recommendations for solutions.
- Assist Tutor Coordinator with hiring, training, supervising, mentoring, and evaluating a team of peer tutors specifically serving student-athletes in the Athletic Academic Center.
- Program assessment and reporting: Collecting, analyzing, and reporting program outcome data for tutoring services, and using those data to recommend process improvements and solutions.
- Technical lab stewardship: Maintaining and troubleshooting computers in three AAC computer labs and acting as a technical support resource specifically for the Athletic Academic Center.
- Information security liaison role: Serving as departmental liaison to the Information Security Office and maintaining compliance with required IT/security training and standards.
- Department-specific HR support: Using PeopleAdmin to support recruiting and hiring for full-time departmental staff and assisting with employment offers and onboarding processes, beyond the generic “maintain personnel files” language.
