Job Description
This position serves as the welcoming face of the Miner Alumni Association (MAA) and Hasselmann Alumni House. As the first point of contact for alumni, campus partners, and visitors, this role plays an important part in creating a positive and professional experience that reflects the values of Missouri S&T. The individual in this role supports alumni engagement by responding to inquiries in person, by phone, and by email, and by helping connect alumni and campus partners with the resources they need.
Key Responsibilities:
- Supports daily office operations by maintaining records and handling administrative tasks such as printing, copying, filing, shipping, mailing, scheduling appointments, processing daily gifts, and managing expenses and invoices
- Provides administrative support for a collaborative team of eight, helping ensure the office runs smoothly and efficiently through office supply procurement, alumni data maintenance, and assistance with special projects as needed
- Provides executive administrative support to the Assistant Vice Chancellor, including calendar coordination, meeting scheduling (both internal and external), travel planning, and expense reconciliation
- Coordinates and supports meetings and events, including quarterly board meetings held in person and virtually, by confirming attendance, preparing materials and reports, and managing meeting space and logistics
- Oversees the MAA stewardship program and supervises both paid and volunteer student workers, while also contributing to the planning and execution of alumni events hosted on and off campus
Shift
Some nights and weekends will be required. Normal workday is Monday-Friday, 8am-5pm.
Minimum Qualifications
An Associate's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
2-3 years of executive office management experience in a fast-paced environment.
Anticipated Hiring Range
The anticipated hiring range for this position has been established as $17.05-$20.00 hourly.
Salary is determined by a variety of factors, including but not limited to, the individual’s particular combination of education, skills, and experience, as well as organizational requirements.
