Administrative Associate V - Visual Arts and Design
Tarleton State University, a distinguished Doctoral National Comprehensive University, invites applications for the position of Administrative Associate V in the Department of Visual Arts and Design.
The Administrative Associate V works under general supervision and provides administrative support to the Department of Visual Arts and Design, exercising discretion and independent judgment on matters of significance. This is a 12-month, in-person staff position located on Tarleton’s main campus in Stephenville, Texas, with standard work hours of Monday through Friday, 8:00 a.m. to 5:00 p.m. Serves as a campus security authority (CSA).
Essential Duties and Responsibilities:
40% Department Head Support:
- Direct support for the Department Head, including calendar management and travel arrangements.
- Reviews documents for the supervisor. Attends meetings or committees on behalf of the supervisor.
- Analyzes requirements for projects or initiatives.
- Provides technical information regarding administrative procedures, services, or programs.
- Applies and interprets, and/or assists in implementing management policies or operating practices.
- Develops administrative and technical procedures.
- Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies, and procedures.
- May monitor compliance with policies and procedures.
30% Department Processes:
- Service as primary liaison for VADS
- Participates in planning and executing administrative operations.
- May serve as the office manager.
- Monitors office procedures. Develops, evaluates, and ensures adherence to office procedures.
- Performs special analyses and project summaries.
- Assists with collaborations between the department and the community.
- Coordinates travel arrangements and prepares itineraries.
- Coordinates the maintenance of files, records, office supplies, or equipment.
- Makes recommendations for process improvements, administrative changes, or new initiatives.
- Hires, trains, and supervises student workers.
- Hiring support – including Adjuncts, Students, Visiting, and full-time faculty
- Academic scheduling and registration support
- Scholarship administration support
- Support of special projects, including annual Rio Brazos Exhibition, ULTRA Club events, and Fine Arts Center Gallery shows
- Accounts, reconciliation, payments, contracts, and purchasing support
- Oversees regular updates to the department website
20% Faculty Assistance:
- Support for faculty purchasing and travel
- Coordinates meetings, seminars, and other special events and may provide on-site support.

Minimum Requirements:
Required Education and Experience
- High school diploma or equivalent combination of education and experience.
- Five years of related experience.
Required Knowledge, Skills, and Abilities:
- Knowledge of word processing, spreadsheet, database, and presentation applications.
- Ability to multitask and work cooperatively with others. Interpersonal and communication skills. Planning and organization skills.
- Ability to work with sensitive information and maintain confidentiality.
- Ability to work independently once given a project.
- Excellent written and oral communication skills in English.
